Role Summary

The Procurement and Logistic Coordinator will ensure the organization obtains quality supplies at the best possible cost. The role covers procurement planning, vendor management, purchase approval, inventory tracking, vehicle registration and maintenance follow-up, and coordination of location logistics.

Key Responsibilities

Supply and purchasing

  • Source and place orders for equipment, instruments, services, spare parts, and operational materials from local and international suppliers.
  • Ensure purchases follow the procurement manual as well as quality and legal requirements.
  • Build and maintain an effective vendor database to support strong supplier relationships.
  • Track supplier performance, including delivery timing, quality, quantity, and value for internal teams and beneficiaries.

Procurement strategy

  • Develop and implement procurement plans and supplier partnership approaches.

  • Continuously search for new sourcing options and expand the supplier base.

Logistics

  • Arrange vehicle use for business travel in Addis Ababa and at project locations.
  • Ensure vehicles are maintained and serviced according to schedule.

Supplier performance and monitoring

  • Keep the supplier database accurate and up to date.
  • Review supplier information regularly and correct missing or outdated records.
  • Apply a structured KPI-based framework to assess supplier performance.
  • Compare negotiated prices with approved budgets and analyze variances with recommendations.
  • Manage supplier claims and disputes through documented, timely resolution processes.

Safeguarding responsibilities

  • Ensure vendors are aware of, aligned with, and have signed SOS Children’s Villages safeguarding policies, with these obligations included in contracts.
  • Follow the Code of Conduct, safeguarding standards, and local procedures.
  • Stay alert to abuse, neglect, harassment, exploitation, fraud, corruption, and conflicts of interest.
  • Report suspected fraud, corruption, risks to assets, or conflicts of interest to a supervisor without delay.
  • Follow all procedures designed to prevent and manage safeguarding and integrity risks.

Requirements

  • Bachelor’s degree in Supply Chain Management, Procurement, Logistics, or Business Administration.
  • At least 5 years of relevant experience in procurement and logistics.
  • Experience in an NGO/INGO or similar operational environment is an advantage.
  • Strong background in vendor management and contract administration.
  • Experience using ERP systems and procurement tracking tools.
  • Strong written and spoken English communication skills.
  • Valid 3rd-grade driving license.
