Role Overview

A specialized FileMaker-focused development team in Vancouver is looking for an organized part-time Project Manager to help run an active engagement for a major Canadian utility customer. This is a steady, detail-intensive coordination role that keeps schedules, dependencies, testing, documentation, and client commitments moving in the right direction.

You will work alongside the Technical Lead and the client-side project manager to keep release plans on track, manage testing and sign-offs, and make sure deliverables are completed and reviewed on time.

Engagement Details

This is an ongoing part-time contract. The expected workload is 4 to 6 hours each week. Attendance is required at the weekly client status meeting every Wednesday from 11:00 AM to 12:00 PM PST. The role is remote, but you must be available to work in Pacific Time.

Testing and Release Coordination

The position centers on keeping the test and release process organized across several programs and rollouts. You will maintain a structured tracker in Trello and a live status scorecard in Google Sheets, updating case progress as items move through development, testing, retesting, and closure.

Responsibilities also include tracking defect resolution, collecting screenshot evidence, coordinating with developers, client teams, and external testers, and confirming that report outputs and other deliverables match the required specifications before release.

You will help manage go-live readiness by coordinating unit testing, end-to-end testing, and final approvals, and by raising any issue that could put a release date at risk.

Project and Delivery Coordination

You will keep project schedules, Gantt charts, milestones, and dependency trackers current in Google Sheets and related tools. The role also involves identifying blockers early, highlighting delays, and maintaining visibility on delivery status across the engagement.

Another part of the job is producing recurring documentation deliverables, such as navigation and feature guides, on a weekly basis. These materials must remain current across Trello, the ticketing platform, and the internal knowledge base.

Client Follow-Up and Communication

You will track what the client still needs to provide, including inputs, access, feedback, and approvals, and follow up proactively so deadlines are not missed. If an expected input slips, you will reset timelines immediately and escalate risks clearly before they affect the release plan.

The role also includes running the weekly status meeting, preparing the agenda, capturing updates and action items, and ensuring owners stay accountable for follow-through.

Requirements

Strong project coordination or technical project management experience is required, ideally in work with government, utility, healthcare, or enterprise clients. You should have hands-on experience managing software testing or UAT cycles and following defects through to closure.

You need to be comfortable managing a test cycle using a live spreadsheet scorecard and a card-based workflow tool, with screenshot-based evidence for each case. High accuracy, careful client communication, and the ability to work independently with little supervision are essential.

The role also calls for strong organization, proactive follow-up across multiple dependencies, excellent written and spoken English, and the ability to produce clear documentation. Familiarity with Trello, Google Sheets, a ticketing system such as Freshdesk, and wiki or knowledge-management tools is expected. Experience with Agile or hybrid delivery is helpful, and FileMaker exposure is an advantage, though this is not a development role.

Security and Compliance

Because the clients are in government and utility sectors, a criminal record check and FOIPPA privacy training are mandatory before any client systems can be accessed. Work must also be performed on a machine using NinjaOne and SentinelOne.

A personal computer is not required. The team can provide a basic Mac or Windows 11 machine and recover the cost from pay, or arrange financing for the purchase. These security and tooling requirements are firm conditions of the engagement.

Success Measures

Success in this role will be measured by whether project plans and the test scorecard stay updated, client inputs and approvals arrive on time, documentation is delivered on schedule, risks are surfaced early, and communication remains clear and accountable on both sides.

Equal Opportunity Statement

The company states that it stands against racism, discrimination, and violence, and supports organizations that help people succeed and thrive. It is also committed to diversity, equity, and inclusion in how candidates are treated and how clients build their teams.
