ConferenceNational is looking to add an Accommodation Coordinator to its energetic, service-focused team. The position supports a business that has built long-standing relationships with many clients, including several who have worked with the company for over a decade. This opportunity is aimed at someone who is organised, quick to pick up new systems, and confident in communication. It also offers a strong entry point into the events and conference sector.
The role is based in Wollongong, New South Wales, and is primarily full time. Part-time hours, including school-hour arrangements, may also be considered. For the right person, hybrid work can become available after probation is completed.
What the role involves
In this position, you will support the Accommodation and Technology Services Director with the setup and management of online delegate accommodation and registration forms for conferences and events. You will also handle accommodation-related questions from conference delegates and provide general administrative help across the team.
Key responsibilities
- Support the Accommodation and Technology Services Director with day-to-day administration.
- Answer accommodation and registration enquiries in a help desk setting.
- Create and maintain online delegate registration and accommodation booking forms using booking software.
- Oversee group contracts, including attrition provisions and release deadlines.
- Track, compare, and reconcile rooming lists before and after conferences.
- Prepare invoices, assist with payment follow-up, and report on unpaid amounts.
- Assist with varied administrative and ad hoc tasks as needed.
Candidate profile
The ideal applicant is a motivated team member who enjoys learning new tools and systems. They should bring strong customer service instincts, polished phone manners, and clear written and spoken communication. Good organisation, attention to detail, and the ability to stay calm while balancing several priorities are essential.
