Role overview
This opportunity is for an experienced Executive Assistant to provide maternity cover for 12 months. The position sits in a fast-moving, high-impact environment and works closely with senior leadership, supporting the SVP EMEA. The role is designed to ensure continuity, strong coordination, and smooth day-to-day operations throughout the cover period.
You will act as a dependable business partner and trusted advisor, helping the executive stay focused on the most critical priorities by anticipating needs, managing competing demands, and delivering reliable administrative and strategic support.
The current EA will remain in the role at the start of the assignment to help with handover, onboarding, and the initial ramp-up period.
Work arrangement
This is a hybrid role. You will be expected in the office for a few days each month, never more than twice per week, and work from home for the remainder of the time. There may also be up to three short trips within Europe during the year.
Key responsibilities
The primary focus is to serve as a trusted partner to the executive and keep operations running smoothly.
- Own complex diary and calendar coordination across multiple time zones, adjusting priorities as needed.
- Manage executive communications, responding to requests and correspondence with care and discretion.
- Prepare meeting support materials such as agendas, briefing packs, and follow-up actions for internal and external meetings.
- Arrange travel logistics including flights, accommodation, local transport, and detailed itineraries.
- Handle expense processing and support budget monitoring.
- Develop strong working relationships with internal teams and external stakeholders.
- Support planning and delivery of team offsites, leadership meetings, quarterly all-hands sessions, and business review meetings.
- Protect confidential information and deal with sensitive matters professionally.
- Take ownership of ad hoc tasks and priority projects as they arise.
About you
The ideal candidate is a seasoned Executive Assistant who brings a positive mindset, strong judgement, and a commitment to high-quality support. You should be comfortable working in complex environments, switching priorities quickly, and maintaining accuracy under pressure.
You will be expected to work with warmth, professionalism, and a proactive attitude, while remaining dependable, collaborative, and highly organised.
Additional information
This is a maternity cover assignment for 12 months. The role is intended to bridge continuity while the existing EA supports the transition at the beginning of the placement.
