Role Overview
This position is an early-career administrative support opportunity based in the Kansas City Metropolitan Area. The role is intended to grow into a more trusted support partner for a Project Manager, helping organize team communication, improve reporting, and shape more effective project processes.
Initial Responsibilities
At the start, the work will focus on routine coordination and office support tasks. These include updating Excel databases, preparing meeting minutes, refreshing organizational charts, aligning with team members to correct and revise project documents, scheduling updates, and monitoring email.
Expanded Responsibilities
As the role develops, the work may extend to building Power BI dashboards, preparing presentations for both internal teams and clients, tracking project progress, sharing status updates with Project Managers and Leads, and working with stakeholders to address delays while updating project records accordingly.
Detailed Job Duties
- Use document management tools to send client workflows and transmittals.
- Coordinate deliverables among clients, vendors, and internal teams.
- Gather information and prepare weekly and monthly progress reports.
- Support project setup by organizing documents and provisioning project materials.
- Maintain project calendars and scheduling details.
- Capture meeting notes, format them, and distribute finalized minutes.
- Help arrange, run, and close down large team meetings.
- Keep team records current, including distribution lists and contact information.
- Serve as a communication bridge between internal staff and clients on scheduling and travel-related issues.
- Assist with travel booking and expense reporting for the Project Management team.
- Coordinate between office-based and site-based teams.
- Track mandatory project training and register team members as needed.
- Act as a first point of contact for miscellaneous project questions and requests, while prioritizing urgent needs.
- Learn new corporate systems and software updates quickly to support rollout activities.
Requirements
The ideal candidate should bring at least one year of relevant office or clerical experience, along with strong working knowledge of Microsoft Word, Excel, Access, Outlook, and PowerPoint. Success in this role also depends on being proactive, comfortable communicating with different types of stakeholders, highly organized, and attentive to detail.
