Role Overview

Solvere Technical Group is seeking a highly organized and detail-focused Administrative Support professional to help keep office operations running smoothly, with primary emphasis on compliance and regulatory affairs activities.

Key Duties

  • Deliver day-to-day administrative assistance connected to compliance and regulatory affairs, including travel, acquisitions, purchase cards, and space and real property management.
  • Handle ITA and departmental data calls covering travel, procurement, property, fleet, space, and facilities matters.
  • Prepare emails, reports, and taskers for circulation within OCFAO and across ITA.
  • Support MOD staff in improving and simplifying policies, procedures, processes, and data-call workflows.
  • Create business communications and deliverables in Microsoft Word, Excel, and PowerPoint for MOD team leads.
  • Maintain organized electronic filing systems for MOD records.
  • Support forms management, mail handling, DOC symbols and logos, and organizational chart updates.
  • Help coordinate and execute meetings for ITA, OCFAO, and MOD teams.
  • Act as backup support for MOD programs such as passport/visa, travel card, transit benefits, parking, and related services.
  • Provide support for E2 and manual travel preparation for OCFAO and Office of the Under Secretary personnel, including authorizations, vouchers, local travel vouchers, reservations, premium-class travel requests, and departmental/ITA coordination.
  • Assist with Sunflower Personal Property System tasks under government oversight, including property custodian support and non-inherently governmental transactions.
  • Complete required initial and refresher Sunflower training as directed by the DOC Personal Property Management Manual.
  • Help maintain custodial property records, including hand receipts and end-user accountability.
  • Support efforts to ensure property is used only for official purposes and report excess items to the Property Accountability Officer.
  • Prepare prompt reports and CD52 Asset Retirement Requests for lost, missing, stolen, damaged, destroyed, or surplus accountable property.
  • Affix barcode labels, create asset records, and assist with inventories, transaction checks, and inventory documentation.
  • Support fleet vehicle inventory tracking, inquiry responses, and required reporting such as FAST, vehicle reports, fleet management plans, and leadership updates.
  • Assist with employee separation clearances to verify all assigned property is properly accounted for.
  • Track property removed from the custodial area for repair or use elsewhere.
  • Ensure supporting documentation for newly acquired property is uploaded in Sunflower.
  • Help answer NIST capitalized property questions and process related actions for acquired property.
  • Print hand receipts and OF-7 property passes as needed.
  • Help schedule and monitor attendance for Sunflower training webinars and review training records.
  • Respond to recurring and ad hoc departmental inquiries and data calls, including Sunflower role reviews, foreign gifts, training validation, critical element validation, exchange/sale validation, and excess property furnished to non-federal recipients.
  • Carry out additional administrative and data-call-related assignments from the MOD Director and team leads.

Qualifications

  • High school diploma or an equivalent credential is required.
  • Prior administrative experience is preferred, especially in compliance or regulatory affairs environments.
  • Strong working knowledge of Microsoft Office tools.
  • Clear and effective written and verbal communication skills.
  • Ability to manage priorities and work with limited supervision.
  • Strong accuracy, organization, and problem-solving ability.
