Role Overview
This position is for an Executive Assistant based in Bengaluru. The role follows a hybrid working model, so work will be split between home and a company office depending on team and business needs.
The Executive Assistant will provide administrative, coordination, and organizational support to senior leaders. The role requires regular interaction with managers inside and outside the company, as well as communication with customers, vendors, and visitors. A major part of the job is handling sensitive information carefully, staying ahead of the needs of multiple managers, and adapting to changing schedules and priorities.
Key Responsibilities
- Gather, organize, and prepare material needed for meetings and presentations.
- Record meeting notes and keep track of follow-up actions.
- Coordinate complex calendars, resolve scheduling conflicts, and reserve time for top priorities.
- Arrange business travel end to end.
- Handle event coordination for activities such as team all-hands meetings and off-site gatherings.
- Prepare expense submissions and purchase requests accurately and on time.
- Support manager-assigned special projects.
- Oversee day-to-day team operations, including planning, customer meetings, weekly initiative updates, and cross-functional program support.
- Partner with cross-functional teams on reporting and reconciliation tasks, including budget tracking.
- Maintain email distribution lists and aliases.
Qualifications
Candidates should have at least 5 years of senior-level experience in an administrative or coordination capacity. Strong preference is given to applicants with a background in project and budget management, support for multiple leaders in large teams, and advanced use of MS Office tools such as Outlook, Word, PowerPoint, and Excel, along with cloud platforms like SharePoint.
The role also calls for excellent communication, collaboration, and organizational abilities, along with sound judgment, initiative, discretion, and confidentiality. The ideal candidate should learn new tools and processes quickly, interact professionally with senior leaders, and remain effective in a fast-moving and demanding setting. Strong time management, prioritization, and the ability to meet deadlines in ambiguous situations are important.
