Role overview
The Executive Assistant will support Financial Advisors, Private Wealth Advisors, and their teams by handling day-to-day coordination tasks such as phone support, calendar administration, and expense processing. This position calls for someone who is exceptionally organized, careful with details, and comfortable juggling several priorities at once.
Key responsibilities
- Arrange travel for meetings, conferences, presentations, sales events, and other on-site or off-site commitments.
- Manage managers’ calendars, coordinate schedules, and help prepare for large sales meetings.
- Assist with Morgan Stanley Investment Management marketing activities, including distributing sales reports and sending outgoing email campaigns.
- Track expense reports and check requests, keeping records current and accurate.
- Provide day-to-day support to the sales team whenever needed.
- Handle telephone coverage by answering questions, directing calls appropriately, and recording detailed messages while using sound judgment with internal and external contacts.
- Sort, review, and prioritize incoming mail, then take the necessary next steps.
- Keep information moving smoothly across the team and ensure follow-through on detailed action items.
- Contribute to special assignments as required.
- Carry out any other related duties assigned to the role.
Technical qualifications
- Comfortable using Microsoft Word and PowerPoint.
- Good working knowledge of Microsoft Excel, including familiarity with spreadsheet formulas.
- Experience using databases.
Experience and profile
- Previous administrative experience in a sales environment is essential, with 3 to 7 years preferred.
- Background in financial services is an advantage.
- Must be adaptable and open to taking on new assignments.
- Strong service mindset and the ability to collaborate effectively within a team.
- Well-developed organizational ability, capable of managing multiple priorities and working on own initiative where needed.
- Clear written, verbal, and interpersonal communication skills.
Reporting line
This role reports to the Business Service Officer.

Compensation
The expected base pay for this position ranges from $34,320 to $90,000 annually at the start of employment. Final pay is determined individually and may be supplemented by commission, incentive compensation, discretionary bonuses, and other short- or long-term incentive programs, along with company-sponsored benefit offerings.
