Role summary
As the Executive Assistant and Office Operations partner to the Chief Product Technology Officer, you will bring order to complexity, help the executive stay focused, and ensure the wider Product & Technology function runs with a strong operating rhythm. In parallel, you will manage the San Mateo office day to day, shaping a workplace that feels organized, welcoming, and effective for employees and guests.
Executive partnership
- Take full ownership of the CPTO’s calendar so priorities are balanced and time is used effectively.
- Arrange domestic and international travel, including itineraries and expense submissions.
- Prepare meetings by organizing agendas, presentations, briefing documents, and follow-up actions.
- Manage incoming communications and act as a reliable gatekeeper and point of contact for the CPTO.
- Treat sensitive and confidential matters with care, professionalism, and discretion.
- Stay ahead of issues and resolve blockers before they affect executive productivity.
- Contribute to strategic programs, planning efforts, and special projects across Product & Technology.
Office operations
- Run the daily operations of the San Mateo office and maintain a strong experience for staff and visitors.
- Coordinate vendors, supplies, facilities needs, and workplace support services.
- Plan executive visits, onsite meetings, team gatherings, and office logistics.
- Work with IT, Facilities, People Operations, and Finance on onboarding, workspace planning, equipment, and employee experience initiatives.
- Look for practical ways to improve office operations through efficient, scalable processes.
What you should bring
This role calls for 4–6 years of experience supporting senior leaders, ideally in a fast-moving technology environment. You should be comfortable handling demanding calendars, frequent travel, shifting priorities, and office operations or facilities coordination. Strong organization, excellent communication, sound judgment, and the ability to manage sensitive information are essential. A proactive approach, independent problem-solving, relationship-building ability, and familiarity with modern productivity tools will help you succeed.
Success in the first six months
Within six months, you are expected to become a dependable extension of the CPTO. Executive priorities should run smoothly, meetings should be well prepared, travel should be handled without friction, and the office should consistently provide a polished, organized experience. You should also be contributing ideas and solutions that improve how the broader Product & Technology organization works.
Compensation and benefits
The target total compensation is $120,750 to $149,500 and includes a fixed annual salary of $105,000 to $130,000, an employee equity grant, and an annual bonus. The role also comes with comprehensive benefits. Equity is provided in good faith and remains subject to company policy, board approval, and individual eligibility.
