Overview
This position supports the talent acquisition function by handling interview logistics and keeping the hiring process organized and candidate-friendly. The role is based in Chicago, Illinois, and is structured as a hybrid assignment with remote work allowed. However, the candidate must live near Chicago or Richardson in case a full-time opportunity becomes available or onsite training is required.
Role Summary
The interview scheduler/recruiter assistant will work closely with recruiters, hiring managers, and interview panels to coordinate interviews across different departments, locations, and time zones. The focus is on maintaining smooth scheduling, clear communication, and reliable administrative support throughout the recruitment process.
Key Responsibilities
- Arrange phone screens, virtual interviews, and in-person interviews for multiple teams and locations.
- Coordinate calendars for several interviewers at once, including panel interviews and changing availability.
- Share interview details, expectations, and updates with candidates and internal stakeholders in a professional manner.
- Create and manage meeting invitations, room bookings, virtual links, and reminder communications.
- Act as the main contact for candidates on scheduling questions, logistics, and next steps.
- Handle reschedules or conflicts quickly while preserving a positive candidate experience.
Required Experience and Skills
Applicants should have prior experience managing interview schedules across multiple teams, places, or time zones. The job calls for strong organization, the ability to juggle several requests at once, and careful attention to detail. Clear written and spoken communication is essential, along with a professional, tactful, and service-oriented approach when interacting with candidates and hiring teams. Familiarity with ATS and HRIS tools, Outlook or similar scheduling software, and virtual meeting platforms such as Teams or Zoom is expected.
Preferred Background
Experience supporting recruiting or talent acquisition in a large-scale or high-volume environment is an advantage. Exposure to multi-location or multi-time-zone coordination is also preferred, as is a background in HR, recruiting coordination, or corporate administrative support.
Compensation and Duration
The role offers pay of $25.00 per hour on W2. The assignment is expected to run for 6+ months with a possibility of extension.

This is a remote-capable role with a hybrid setup in Chicago, Illinois. Candidates should be able to work remotely but must be located near Chicago or Richardson for potential future onsite needs or training.
