Role overview
The Transport Administrator supports the day-to-day running of the transport operation by handling administration, coordinating activity, and helping to resolve issues quickly and accurately. The position is responsible for keeping transport information, customer communications, and operational records aligned with service level agreements and internal deadlines.
In this role, you will work closely with colleagues across transport, warehousing, and customer service to keep communication flowing, maintain precise records, and ensure problems are dealt with promptly in a busy, high-pressure environment.
Key duties
- Handle customer enquiries by phone and email in a polite and efficient way.
- Monitor, organise, and prioritise individual and shared inboxes.
- Coordinate with transport, warehouse, and customer service teams to get issues resolved.
- Keep system records updated for delivery problems, shortages, and mismatches.
- Oversee booking-in tasks and make sure transport carriers are kept informed.
- Maintain transport documentation accurately and ensure records remain current.
- Prepare customer billing in line with agreed service timelines and discrepancy coding.
- Assist with month-end and period-end administration.
- Track Proof of Delivery documents and ensure they are returned within the required SLA window.
- Liaise with transport providers to secure POD compliance.
- Organise transport collections and uplifts, ensuring customer expectations are met.
- Spot discrepancies and follow them through until they are closed out.
- Deal with delivery and collection issues in a timely manner.
- Raise and escalate problems early where needed so they can be addressed quickly.
Requirements
The ideal candidate will have experience in transport administration, logistics, or another operational support position. Strong confidence with Microsoft Excel and the wider Microsoft Office suite is essential, along with the ability to work accurately in a deadline-led environment.
You should bring excellent written and verbal communication skills, strong planning and prioritisation abilities, and a high level of attention to detail. The role also calls for a proactive approach to problem-solving, a professional and customer-first manner, ownership of tasks, and a collaborative attitude.
Preferred background
Experience gained in logistics, transport, or FMCG settings would be an advantage.
