About the Role
Herald Exchange is hiring a highly organized and proactive Executive Assistant to support senior leaders with day-to-day operations, scheduling, communication, and administrative coordination. This position is suited to someone who is detail-focused, adaptable, and comfortable balancing several priorities in a fast-moving remote setting.
Key Responsibilities
- Oversee executive calendars, meetings, and appointment scheduling.
- Set up virtual meetings, draft agendas, and capture meeting minutes.
- Manage incoming and outgoing email communication, ensuring important messages are handled first.
- Arrange travel plans and prepare expense summaries when needed.
- Draft reports, presentations, and other business documents.
- Safeguard sensitive information with discretion and professionalism.
- Monitor deadlines, action items, and follow-ups across multiple teams.
- Assist with project coordination and general administrative support.
- Work with internal and external stakeholders to keep operations running smoothly.
Requirements
- At least 1 year of experience in an Executive Assistant, Administrative Assistant, or comparable position.
- Strong spoken and written communication skills.
- Well-developed organizational and time-management abilities.
- Capability to work autonomously in a remote work setup.
- Working knowledge of Microsoft Office applications (Word, Excel, PowerPoint) or Google Workspace.
- Hands-on experience with calendar management and scheduling tools.
- High attention to detail with solid problem-solving ability.
