Role Overview
This position is for a highly organized and steady Executive Assistant who can support a senior global leader in a demanding, fast-moving setting. The role calls for excellent coordination ability, strong decision-making, and a calm, professional approach when priorities compete.
As a key partner to the executive, you will help simplify complexity, keep daily operations running smoothly, and improve overall effectiveness across a global portfolio. The role carries significant exposure and influence, placing you close to strategic decisions and high-impact work.
Executive & Calendar Coordination
- Take full ownership of a complex international calendar that spans several time zones.
- Arrange and sequence meetings in a way that protects executive time while supporting both strategic and operational needs.
- Spot scheduling clashes early and resolve them independently through effective stakeholder handling.
Inbox & Communication Handling
- Oversee a busy executive inbox by sorting messages, drafting replies, and identifying urgent items.
- Serve as a communication filter and connector to keep responses timely and alignment clear.
- Record follow-ups, decisions, and action points from emails and meetings.
Travel & Logistics
- Arrange detailed domestic and international travel, including flights, hotels, visas, and full itineraries.
- Handle urgent changes and travel disruptions with speed and practical problem-solving.
- Make sure travel arrangements support business priorities and executive productivity while travelling.
Stakeholder Coordination
- Work closely with senior leaders, internal teams, and external contacts.
- Develop strong working relationships that help with scheduling, decisions, and information sharing.
- Assist with meeting preparation, including coordination of materials and briefing notes when needed.
On-Site Support
- Provide in-office presence at the Toronto location about 3 days each week.
- Support the executive while they are onsite to keep day-to-day activities operating smoothly.
- Manage practical arrangements for in-person meetings, including room reservations and readiness.

Working Model
This is a hybrid role with roughly 3 in-office days per week in Toronto. The schedule must also allow flexibility for global time zones, which may occasionally require early mornings or late evenings.
Compensation and Additional Information
The base salary range will be shared when a new role matching your background becomes available and will depend on the specific opportunity considered. Eligible employees may also participate in incentive programs, where payments are discretionary and tied to individual and company results. Some sales-focused roles include sales incentive plans based on individual or group performance.
