Role overview
This position is for an Executive Assistant focused on operations and analysis, supporting the Regional Vice President for a respected hospitality organization in Dubai. The role combines executive assistance, coordination, reporting, and business analysis across a regional portfolio of managed properties.
The selected professional will help drive operational reviews, build performance insights, prepare executive materials, and follow through on strategic initiatives. This is a 12-month contract role that may be renewed within the organization and reports directly to the Regional Vice President.
Operational coordination
- Serve as the main coordination hub for the Regional Vice President’s schedule, including diary planning, prioritising meetings, and managing stakeholder coordination.
- Organise travel, itineraries, and related logistics for regional business needs.
- Draft executive briefs, presentations, and meeting packs for leadership discussions, property visits, and stakeholder meetings.
- Maintain follow-up tracking for outcomes from meetings, operational reviews, and strategy discussions to ensure actions are completed on time.
- Help organise regional operational reviews and monitor closure of action points across properties.
- Support property visits by planning agendas, preparing documentation, and handling follow-up actions after visits.
- Act as a point of contact between the Regional Vice President, property General Managers, corporate teams, and outside stakeholders.
Performance analysis
- Review operational and financial results across the portfolio to spot trends, performance shortfalls, and areas for improvement.
- Create dashboards, reports, and executive summaries to support informed decision-making.
- Assist in evaluating business plans, budgets, and capital expenditure requests, offering insights and recommendations where relevant.
- Track key performance indicators and the progress of initiatives designed to improve operational outcomes.
- Turn portfolio-level findings into concise reports for leadership presentations and strategic reviews.
Project management and strategy execution
- Support the Regional Vice President in planning and delivering strategic initiatives.
- Coordinate cross-functional projects and help ensure milestones, deadlines, and deliverables are met.
- Track risks, issues, dependencies, and action items, escalating concerns when needed.
- Assist with portfolio-wide programmes such as renovations, pre-opening activities, repositioning efforts, and brand compliance tasks.
- Prepare governance reports and keep project records up to date to support oversight and execution.
Experience and qualifications
The role calls for a bachelor’s degree in Hospitality Management, Business Administration, Finance, or a similar discipline. An MBA is considered an advantage.
Ideal candidates will bring 2 to 4 years of experience in hospitality operations, consulting, business analysis, executive support, or multi-property settings.
Strong analytical ability is essential, along with the skill to interpret financial and operational information and convert it into practical recommendations. Experience with executive presentations, dashboards, reports, and briefing materials is important, as is exposure to project coordination, governance reporting, and stakeholder management.
Applicants should be highly organised, comfortable handling several priorities in a busy environment, and able to communicate confidently with senior stakeholders. Good working knowledge of Microsoft Office, especially Excel and PowerPoint, is required. Familiarity with reporting platforms and hotel systems is a plus.
Knowledge of budgeting, business planning, and operational performance measures is preferred. Exposure to luxury hospitality, pre-opening work, or regional operations would be beneficial.
