Role Summary
The Receptionist will be the first point of contact for guests and visitors, helping maintain a welcoming front desk experience and ensuring day-to-day reception operations run smoothly. The role requires a service-focused approach, strong organization, and the ability to support customer interactions efficiently in a busy hospitality environment.
Key Duties
- Deliver attentive customer service while complying with all required safety procedures.
- Help maintain an efficient guest flow and front-desk experience.
- Handle incoming calls by answering, screening, and transferring them appropriately.
- Share clear and accurate information with customers and guests.
- Manage appointments, follow-up visits, and class schedules, including confirmations.
- Maintain patient or customer records daily and prepare files for next-day appointments.
- Check order updates and inform customers about availability or delays.
- Keep the reception area clean, organized, and ready for visitors.
- Receive, sort, and distribute mail and deliveries, while tracking office supply stock.
- Attend scheduled mandatory communication meetings.
Candidate Profile
This position is suited to someone with a friendly manner, good administrative habits, and the ability to manage multiple tasks at once. Experience in reception, front office, or a similar customer-facing role is an advantage, but it is not compulsory. The employer values strong service skills, solid organization, and the ability to work well with phone systems and visitor coordination.
Education
A High School Diploma or an equivalent qualification is required.
Experience
Prior experience of 0 to 2 years in a related role or training is preferred. Experience managing multiple telephone lines is also beneficial. Knowledge of Russian or German is considered an added advantage.
