Role overview
This position calls for an experienced Senior Administrative Assistant to support several Vice Presidents across the Security and Product organizations. The role functions as a true executive partner: bringing structure to complex work, protecting leadership focus time, and keeping day-to-day operations running smoothly in a fast-paced, cross-functional setting. You will act as a key link between leaders, their teams, and other partners while handling sensitive information carefully and exercising strong judgment.
How the team uses AI
Engineering, Product, and Design teams use AI thoughtfully across the product and software lifecycle to speed up work while maintaining quality and security. Examples include AI-assisted coding to speed up reviews and identify bugs earlier, research synthesis at scale for product teams, and rapid prototyping for design. AI is managed with clear principles, human accountability for important decisions, and thorough evaluation before customer release.
Key responsibilities
- Manage and continuously improve complicated calendars for multiple Security and Product VPs, balancing priorities, tradeoffs, urgent changes, and advance planning.
- Run effective meetings by preparing agendas, sharing pre-reads, confirming the right participants, capturing action items, and ensuring follow-through.
- Support operating cadences such as team meetings, leadership syncs, planning cycles, business reviews, and organizational communications.
- Work with VPs on prioritization, spotting conflicts early, flagging risks, and recommending practical solutions.
- Coordinate travel and related logistics when needed, including itineraries, changes, expense support, and clear communication.
- Act as a dependable point of contact for senior leaders, internal teams, and outside stakeholders through timely and professional communication.
- Handle confidential matters and sensitive information with care, sound judgment, and strong security practices.
What success looks like in the first 3–6 months
- VP time is protected and aligned to the most important priorities, with fewer last-minute disruptions and smoother weekly and quarterly transitions.
- Team operating rhythms are consistently prepared, predictable, and followed through with documentation.
- Stakeholders experience responsive, clear coordination and know how to work effectively with the VPs.
- Coordination across VPs improves, reducing duplicated work and late-stage changes.
Requirements
- At least 4 years of experience supporting senior executives, ideally at the VP level and preferably in Security or Product.
- Proven ability to manage multiple priorities across several leaders while staying calm and making sound decisions under pressure.
- Strong project management capability, including the ability to take vague requests, define the work, and carry it through to completion.
- Enough technical and contextual understanding to anticipate needs and collaborate effectively with engineering teams.
- Strong integrity and discretion when working with confidential information.
- Excellent written and verbal communication skills, including the ability to draft polished, executive-ready updates and messages.
- Highly organized, detail-focused, and improvement-oriented, with a systems mindset rather than a purely reactive approach.
- Comfort using modern collaboration tools such as Notion, Google Workspace, Slack, Zoom, and calendar management software.

Compensation and benefits
For US-based roles, the annual base salary is between $98,000 USD and $137,000 USD. For Canada-based roles, the annual base salary is between $80,000 CAD and $112,000 CAD. Compensation is determined with attention to market value, internal equity, experience, and skill set.
