Role Overview
Grand Mills Abu Dhabi is hiring an Assistant Logistics Coordinator to support the daily transport function for FMCG deliveries. The position focuses on planning and executing shipments so that products reach customers, distributors, and retailers on time, in full, and at an economical cost. The role works closely with carriers, 3PL partners, the internal fleet, and cross-functional teams to protect service standards, control logistics spend, and stay aligned with company and legal requirements.
Work Schedule
The role follows a 6-day work week with 9-hour shifts, depending on business needs. A 1-hour break is included, and overtime will be handled according to company policy.
Transportation Operations
- Serve as the first contact for 3PL partners and internal teams for questions related to shipment planning, deliveries, and rejected loads.
- Assign transport capacity across the owned fleet and third-party carriers to meet daily distribution needs.
- Use reverse logistics opportunities such as backloads and circuit trips while staying within the driver weekly hour limit.
- Build efficient shipment plans from daily orders and create/post shipments in the ERP system.
- Work to improve full truck load usage.
- Optimize the use of the company fleet.
- Coordinate with drivers, dispatchers, and warehouse teams to ensure on-time delivery of customer and replenishment orders.
- Maintain accurate records for all transport transactions and deliveries.
- Support compliance of vehicles and staff with local rules and company safety standards.
- Monitor traffic fines and make sure driver fines are escalated to HR and Finance for disciplinary action and salary deduction.
- Oversee goods loading and unloading.
- Work with internal and external stakeholders to close operational issues.
- Ensure carriers deliver service levels as agreed in their contracts.
- Allocate business volumes across carriers based on provided guidelines.
- Follow up on carrier invoices so they are submitted on time, verified, and sent to Finance for payment processing.
- File transport records such as PODs, trip sheets, and permit logs.
- Carry out any additional transport-related tasks required by the business.
Budget Support
- Assist the Logistics Supervisor, Fleet Operations Manager, and Logistics Manager in tracking transport-related costs such as offloading charges, overtime, tolls, and other transportation expenses.
Compliance and Documentation
- Ensure adherence to Agthia safety rules and quality expectations.
- Confirm that vehicle permits, licences, and insurance documents remain current and compliant with regulatory standards.
- Make sure monthly TBT and OPL activities are completed as directed by HSE and QA.
- Keep detailed records of shipment data, fuel usage, and distance traveled to support fleet analysis and reporting.
- Ensure daily trip sheets and vehicle inspection checklists are completed and compliant.
Reporting and MIS
- Track and control transport costs including freight, fuel, tolls, and penalties.
- Monitor performance indicators such as OTIF delivery rate, transport cost per ton/km, fleet utilization, and claims or damage ratio.
- Prepare and maintain accurate, timely reports covering fleet operations, performance metrics, and maintenance costs.
- Support the preparation of periodic department reports in line with company reporting standards.
- Ensure POD records for local customers are filed within 2 days and export customer PODs within 10 days.
Qualifications and Experience
The ideal candidate holds a diploma or bachelor’s degree in logistics, supply chain management, or a related discipline, and has 1 to 3 years of experience in logistics, transportation management, fleet management, or a similar area.
Skills and Knowledge
The role requires strong organization and time management, clear communication with drivers, vendors, and logistics colleagues, knowledge of export and import processes, proficiency in MS Office and fleet management tools, and a basic understanding of vehicle maintenance and repair.
