Investigation Lab Coordinator

Role overview

The Investigation Lab Coordinator is an operational support role that keeps the investigation laboratory running efficiently and in compliance with quality and safety standards. The position manages the flow of incoming cases, return handling, SAP updates, parts movement, and document control while coordinating closely with investigation engineers and other internal teams. This role also supports the Singapore and Malaysia plants.

Root cause analysis and follow-up

The coordinator helps record root cause analysis outcomes in the quality management system, ensures the related complaints are closed, and makes sure follow-up actions are assigned to the correct functional owners. The role also tracks completion of these actions and reports laboratory throughput using relevant KPIs.

Investigation intake and workflow coordination

• Take ownership of the full intake process for returned parts, modules, and instruments that need investigation.
• Check each case for completeness on arrival, including the return reason, observed symptoms, attachments, customer comments, part numbers, and warranty details.
• Set up, revise, and maintain SAP entries for RMAs, DOA cases, and investigation status updates.
• Route and assign cases to investigation engineers according to priority, product line, or system.
• Monitor investigation progress and due dates, and escalate delays or blockers to the Senior Manager.

Logistics and material handling

• Work with Service Logistics, the Warehouse, and Field Service teams to ensure returned items are received on time.
• Oversee movement, labeling, storage, quarantine, and lifecycle tracking of returned components and instruments.
• Keep the laboratory space organized so that workflow, traceability, and 5S standards are maintained.

Documentation and quality compliance

• Make sure each investigation file contains complete and accurate data, attachments, and traceability information in SAP and related systems.
• Maintain standard templates, routing sheets, intake forms, and checklists.
• Support ISO 9001 audit preparedness by maintaining strong records, traceability, and document control.
• Ensure that disposal, return-to-inventory, or return-to-supplier actions are completed correctly.

Communication and cross-functional support

• Act as the main administrative point of contact for investigation status updates across Quality, Field Service, Manufacturing, Supplier Quality, and Logistics.
• Assist with weekly dashboards, turnaround time metrics, and backlog reporting.
• Allocate quality-related tasks to the right functional owners based on the RCA findings.
• Help arrange cross-functional review meetings and RCA discussions.

Lab operations and safety

• Support calibration activities, maintenance planning, and readiness of lab tools, jigs, and shared equipment.
• Follow safety procedures, chemical handling practices, and PPE requirements.
• Keep the laboratory clean, organized, and ready for audit at all times across both Singapore and Malaysia operations.
