Job Purpose
This role is responsible for putting and maintaining stock control processes in place so the company’s inventories are protected from avoidable losses.
Key Responsibilities
- Complete daily reconciliations for white oil and black oil products, including Mogas, Gasoil, JETA1 and Fuel Oil.
- Carry out daily LPG bulk reconciliations.
- Prepare manual reconciliations for all products every day.
- Undertake monthly non-silo reconciliations.
- Reconcile additives for Mogas, Gasoil and Fuel Oil on a daily basis.
- Work out the receipt quantities for white oil, black oil and LPG tankers each time a tanker arrives.
- Calculate all inter-tank transfers for white oil.
- Compute LPG bulk transfers from ESCOL to Total and Vivo Energy whenever they occur.
- Raise deals and purchase orders in Aspect for white oil, black oil and LPG tanker movements/transfers based on the ordered quantities.
- Create receipts in Aspect for white oil, black oil and LPG black oil tanker figures for every tanker received.
- Make sure product stocks in SAP remain positive at close of business each day, as required.
- Process lubricant receipts in SAP.
- Take part in PPC and stock closing activities.
- Check bunker and barge sheets against BDN and customs documents every day, and dispatch them where needed.
- Email purchase order numbers to align STC invoices no later than 3 days before payment, after the invoice has been received.
- Create ZHSP orders for competitors in SAP when required.
- Process borrow, loan and hospitality transactions in SAP.
- Ensure monthly cycle counts are completed for lubricants, fittings, cylinders and additives.
- Prepare monthly consolidated bills and cargo sales bills for declaration to the broker and customs.
- Submit loss and gain statements with the necessary comments for approval before the 5th working day of each month.
- Make sure the monthly gain/loss statements are signed by the Terminal Operations Manager and Distribution Manager.
- Keep stock balances positive in Omega.
- Report tanker activity to customs every month.
- Prepare throughput fee, pipeline fee and offloading fee claims and send them to finance.
- Provide cover for Fuels/LPG and Lubes stock control assistants whenever needed.
Requirements
- A degree in accounting, finance or another relevant discipline, or a diploma accompanied by experience in a related field.
- Strong analytical ability.
- Background in depot operations, supply and distribution, or finance.
- Exposure to controls, compliance audits and supervision.
- Working knowledge of SAP will be an added advantage.
- Ability to work on your own, solve complex issues and take initiative proactively.
- Comfortable working in a team with good interpersonal and communication skills.
