Job purpose

This role is responsible for delivering strong day-to-day administrative support to the Asset Management Department, with particular emphasis on assets, contracts, and budgets. The position exists to help ensure administrative processes run efficiently and smoothly, while supporting high standards of service and operational excellence.

Key responsibilities

  • Prepare scheduled, on-demand, and recurring reports on a weekly and monthly basis, as well as when required.
  • Keep property files and the technical document library current and well organized.
  • Support the upkeep of asset records and related databases so asset information remains accurate and useful for decision-making.
  • Monitor, update, and report on asset registers and data produced through the CAFM system.
  • Review asset data received from the Operations team and validate it before uploading it into the CAFM system.
  • Convert records into presentation-ready material for Sinyar Management.
  • Handle regular client reporting activities.
  • Provide broad administrative and clerical assistance to the Asset Management team, including meeting minutes, presentations, leave schedules, correspondence, and similar tasks.
  • Coordinate with different departments to help move business requirements forward efficiently and support the needs of the department and Head of Department.
  • Organize and schedule site visits in coordination with the client and Operations team.
  • Support the preparation of RFP documents in line with Sinyar standards, ensuring accurate project messaging and controlled documentation.
  • Help maintain technical documentation, including feedback and revisions wherever possible.
  • Work with operations facility engineers, supervisors, and subject matter experts to confirm that scope requirements are being met.
  • Build and maintain a detailed reference database covering regulations, sustainability, HSE, and quality materials, and keep it updated through coordination with internal stakeholders.
  • Support the preparation, tracking, and monthly submission of invoices to Finance and the client.
  • Assist in ensuring budget records are maintained accurately.
  • Help make sure forecasting and client invoicing are completed effectively and in line with governance rules, company policies, procedures, and delegated authority.
  • Carry out additional tasks as assigned by the line manager.

Requirements

  • A diploma is the minimum qualification, preferably in Business Administration or Engineering.
  • At least 6 years of experience in technical or engineering administration.
  • Hands-on experience with ERP systems is required.
  • Strong command of Microsoft Office, especially advanced Excel, Word, and PowerPoint.
  • Exposure to Microsoft Project is considered an advantage.
  • Data analysis ability will be an added advantage.
  • Prior experience in Facilities Management or Asset Management is preferred.
  • Basic technical writing experience is required.
  • Exposure to FSI/CAFM software is an advantage.
