Role overview
The Executive Assistant provides high-level administrative and secretarial support to the Vice President or Senior Vice President in a demanding, fast-moving setting. This role handles sensitive work with a high degree of responsibility, operates with limited supervision, and coordinates closely with internal teams and outside contacts.
Core duties
Daily work may include managing communications, screening calls and visitors, organizing travel and meeting logistics, drafting correspondence, preparing detailed reports and documents, and helping keep executive priorities on track. In some cases, the position may also involve supervising or directing the work of others.
Administrative and secretarial support
- Schedule appointments, meetings, conferences, and travel, and make sure the executive is aware of the calendar at least 24 hours in advance.
- Prepare meeting agendas, attend meetings when needed, and record minutes.
- Maintain correspondence and records, track pending items, and follow up with minimal direction.
- Help move work forward within the executive’s area of responsibility and initiate follow-up actions when needed.
- Research requested information and, when instructed, assemble data into reports.
- Support office management tasks as needed, including coordinating projects and guiding lower-level staff.
Communication and coordination
- Act as a point of contact for other executives, assistants, and internal or external stakeholders.
- Relay instructions and priorities to the right people or departments and gather needed information in return.
- Answer and screen calls, messages, correspondence, and visitors, handling routine questions so the executive can focus on higher-priority work.
Technology and documentation
- Draft standard letters, memos, and other routine documents in Word, Excel, or PowerPoint.
- Prepare more complex materials that require combining multiple office tools and software systems.
- Learn and use additional applications as needed to support productivity and unique work requirements.
- Serve as a helpful resource on office equipment, software, and information-processing procedures.
Required background
A bachelor’s degree is required, although relevant work experience may replace the education requirement on a one-for-one basis, with one year of qualifying experience counting toward one year of education. The role calls for at least 4 years of related administrative or clerical experience, ideally in a fast-paced and demanding environment.
Skills and capabilities
The ideal candidate should be able to analyze information, interpret data, prepare detailed reports, monitor budgets and deadlines, coordinate large multidisciplinary meetings, and keep files and correspondence organized. Strong written and verbal communication skills are essential, along with the ability to work diplomatically with a wide range of people. The role also requires solid judgment, comfort handling confidential matters, familiarity with organizational structures and policies, and proficiency with MS Office and similar applications.
