Position Overview

An Administrative Assistant is needed at Baldonnel Elementary School in Baldonnel, British Columbia. The role reports to the Administrative Officer(s) or the site Supervisor and focuses on office support, records management, reception, and general clerical work.

Work Schedule and Compensation

This is a 6-hour-per-day position with a 10-month work year. The expected start date is September 8, 2026. The starting wage is $29.32 per hour.

Key Duties

  • Keep office tasks moving so deadlines are consistently met.
  • Organize and maintain multiple filing systems related to administration, district schools, personnel, and students.
  • Update student information including registration documents, permanent record cards, class lists, transfers, and monthly attendance.
  • Provide front-desk and reception support by assisting students, parents or guardians, staff, and visitors, handling inquiries, sorting mail, answering and forwarding calls, and relaying messages.
  • Carry out a broad range of word-processing and other computer-based administrative tasks.
  • Track school and department accounts, verify coding and authorization of invoices, process payments and receipts, record and deposit funds, and reconcile monthly bank statements.
  • Manage petty cash when needed and maintain the Principal’s Trust Account as required.
  • Maintain accounts receivable records, create invoices, log payments, and follow up on outstanding balances each month.
  • Arrange appointments and travel bookings as needed.
  • Prepare Ministry and District forms for submission under the direction of the Administrative Officer(s) or Supervisor.
  • Help organize meetings and other events, and may be asked to attend meetings to record and transcribe minutes.
  • Support staffing arrangements and record keeping when employees are absent or ill.
  • Handle registration for teacher professional development courses.
  • Provide minor first aid when necessary.
  • Complete other related tasks assigned by the Administrative Officer(s) or Supervisor.

Qualifications

  • Completion of Grade 12 or an equivalent level of education.
  • Up to 2 years of recent experience, preferably gained within the last 5 years.
  • Strong word-processing and general computer abilities.
  • Working knowledge of basic accounting concepts.
  • Comfortable handling difficult conversations in a professional manner.
  • Ability to meet the School District’s clerical typing standard of 40 words per minute and any other required benchmarks, with test results considered during hiring.
  • Capability to work independently and prioritize tasks effectively.
  • Completion of WHMIS certification and other online safety training offered by the District during the probationary period.
  • Good interpersonal skills and the ability to contribute as part of a team.
  • Ability to pass a Vulnerable Sector Criminal Records Search before starting work.

Proof of graduation or the highest level of education must be provided before employment begins. The District will require the successful candidate to complete WHMIS and any additional safety training within the probationary period.
