What this role involves
You will manage event operations from the planning stage through execution and post-event follow-up. The role covers logistics, vendor coordination, budgeting, travel, on-site support, and wrap-up activities.
Event planning and logistics
- Arrange operational details for technology events and AWS-related conferences, including booth activations, sponsorship activities, meetups, private dinners, and workshops.
- Create and maintain project plans, timelines, run-of-show documents, and operational checklists.
- Handle travel planning for event staff, including flights, accommodation, and ground transportation.
- Oversee shipping, receipt, setup, and teardown of booth materials and event assets.
Budgeting, procurement, and vendors
- Track event budgets and spending, including purchase orders, invoices, reimbursements, and payment coordination.
- Research, compare, and coordinate with vendors for items such as swag, printing, signage, booth construction, audio-visual support, catering, and photography.
- Buy and maintain event collateral, including branded merchandise, printed materials, booth items, and demo equipment.
- Monitor inventory and make sure all materials are packed, prepared, and delivered on time.
On-site execution
- Act as the main operations lead during the event to keep everything moving smoothly.
- Manage booth setup, badge collection, internet and power arrangements, lead capture processes, and team rotation schedules.
- Resolve issues quickly, including shipment delays, last-minute adjustments, and vendor coordination problems.
After-event responsibilities
- Coordinate return shipments, inventory check-in, and vendor follow-up after events.
- Review and reconcile expenses and ensure invoices are processed correctly.
- Document lessons learned and update internal playbooks to improve future events.
Requirements
- Must be based in the United States and available for frequent domestic travel, with international travel as needed, including some evenings and weekends.
- Must have, or be able to obtain, a valid passport and travel authorization for business travel outside the country.
- Strong planning, organization, and detail orientation with a comfort level for checklists and timelines.
- Good written and spoken communication skills.
- Ability to manage several tasks at once and adapt quickly when priorities shift.
- Working knowledge of tools such as Google Workspace, Microsoft Office, or similar productivity suites.
- Exposure to AWS or technology event coordination is an advantage.
Preferred background
- 0 to 2 years of experience in events, marketing operations, hospitality, campus programming, or project coordination; internship and student organization experience also count.
- Familiarity with tech conferences, cloud communities, or AWS ecosystem events.
- Experience with platforms such as HubSpot, Jira, Atlassian tools, Monday.com, or Airtable.
- Basic design and production skills, including comfort with Canva and brand consistency.
- Experience handling vendors, shipping logistics, or expense tracking.

- You keep event operations organized, calm, and on track even when plans change at the last minute.
- You anticipate deadlines such as shipping cutoffs, print lead times, and booth requirements.
- You track expenses accurately and keep documentation and payments moving.
- You help events feel seamless for the broader team so they can focus on customers and partners.
Compensation
The posted salary range for this role is USD 45,000 to USD 55,000 annually. Final pay within that range depends on market location, relevant skills, experience, education, and training.
