This position supports a rapidly expanding e-commerce jewelry business by keeping administration, communication, hiring coordination, and leadership support well organized and moving forward. About the role
The goal of this role is to reduce administrative and operational pressure on the founder and leadership team. You will support recurring admin tasks, assist with hiring and HR coordination, keep internal systems organized, and make sure actions, reminders, and key details are tracked and completed.
The company needs someone who can stay accessible and responsive across all 7 days of the week. This does not mean constant active work, but it does require dependable availability and communication when needed during the day. A split-shift arrangement may be suitable if agreed during the hiring process. To show attention to detail, applicants are asked to include the word “seesaw” in the first screening response.
Key responsibilities
- Support leadership with executive administration, coordination, follow-ups, and operational tasks.
- Provide flexible coverage each day and stay responsive throughout the week as priorities change.
- Take ownership of recurring administrative work that currently consumes leadership time.
- Assist with recruiting and HR processes, including posting jobs, scheduling interviews, tracking candidates, and following up on hiring steps.
- Bring order to workflows, notes, trackers, SOPs, and documentation so there is one reliable source of truth.
- Coordinate urgent one-off issues and make sure next actions are completed.
- Build and maintain documents, spreadsheets, task boards, internal updates, and operational trackers.
- Support light customer experience, operations, and internal team coordination tasks when required.
- Spot gaps, overlooked follow-ups, and workflow issues before they escalate.
- Complete detailed operational tasks carefully and independently.
Requirements
- Previous experience in an Executive Assistant, Founder’s Assistant, Operations Assistant, HR Coordinator, Recruiting Coordinator, or similar high-trust support position.
- Solid hands-on experience supporting founders, executives, or highly active teams.
- Advanced working knowledge of Notion.
- Reliable day-long availability and communication, with the ability and willingness to work across a 7-day schedule.
- Experience using Slack, ATS platforms, and task management tools.
- Background supporting remote e-commerce or direct-to-consumer businesses.
- Experience creating SOPs, internal systems, or operating workflows.
- Experience supporting customer experience or operations in addition to executive work.
Preferred experience
- Exposure to recruiting operations or HR coordination.
- Familiarity with ATS tools such as JazzHR or similar systems.
