Role overview
Hanwha Ocean is expanding beyond its shipbuilding roots into a broad engineering, procurement, construction, installation and operations business. The company’s portfolio includes FPSO, FLNG, offshore renewable energy, floating production units, and major onshore energy and infrastructure developments. As part of this growth, the Energy Plant Unit is looking for a Document Control/Management Specialist in Singapore to support project documentation activities and internal document system administration.
In this role, you will report to the Document Management Lead and support corporate and project teams with document control, application support, system upkeep, and day-to-day document handling. The position also involves maintaining the internal document application, keeping records organized, and ensuring document processes run smoothly across teams.
Responsibilities
- Create and maintain corporate and project standards and procedures related to document and information management.
- Configure and tailor document management systems such as ProArc or similar platforms for corporate and project use.
- Set up document management environments for both corporate and project requirements.
- Administer user access and accounts within the document management system.
- Support troubleshooting and issue resolution for the DMS.
- Manage corporate and project documentation throughout the document lifecycle.
- Prepare reports on document status and project progress.
- Compile project handover documents and dossiers.
- Carry out additional tasks assigned by corporate or project management.
- Coordinate with different teams and headquarters to support documentation workflows and program updates.
- Work with project teams, engineers, and other stakeholders to confirm document requirements are met.
- Check document identification details such as document numbers, revision numbers, and page numbers.
- Spot identification errors in documents and correct them when needed.
- Carry out quality checks on incoming and outgoing documents to ensure compliance with standards.
- Upload and download files through the document management system as required.
- Track submission timelines and coordinate document submissions with the project team.
- Handle document submissions to internal teams, external parties, and clients.
- Prepare and circulate document control reports and status updates for the project team.
Requirements
- A tertiary qualification, preferably in business administration or a related field.
- At least 5 to 7 years of experience, or more, in document control or document management within the oil and gas sector, ideally in offshore EPCI(O) and/or FPSO/FSO environments.
- Prior experience setting up or working with EDMS platforms such as ProArc will be an advantage.
- Background in using databases would be beneficial.
- Strong working knowledge of MS Office.
- Highly organized and careful, with the ability to work independently.
- Comfortable working in a structured environment with clear procedures and processes.
