University College London Hospitals NHS Foundation Trust is seeking a proactive, inventive, and dependable Administration Assistant to support the Restorative Dentistry team at the Eastman Dental Hospital, part of UCLH’s specialist dental service.

What you will do
- Communicate professionally, kindly, and clearly with multidisciplinary colleagues, patients, relatives, carers, and other clinicians, in line with trust values and patient communication standards.
- Handle communication through email, telephone, and MyCare while following the patient communication policy.
- Keep a close watch on inbasket folders and secure chat, completing required follow-up actions promptly and according to SOPs and local procedures.
- Regularly review the letter queue folder, format clinic letters, add the correct recipients, and carry out any other requested actions using the clinic letter template SOP.
- Answer service-related phone calls in a timely and courteous manner, record messages, and pass written or verbal information to patients within required timeframes.
- Provide patients with appointment-related information and non-clinical guidance about their care.
- Deal with straightforward questions independently and use judgement to involve a clinical team member when needed.
- Serve as a contact point for the department, manage stakeholder queries, and route information to the right colleagues using the Telephone and Email Directory.
- Monitor and triage emails sent to generic inboxes, following local process and the patient communication policy.
- Escalate more complex issues with reassurance, expected response times, and appropriate contact details.
