Job description
Role Overview
Buccellati is looking for a meticulous and highly organized Administrative Assistant to keep day-to-day office activities running efficiently for the Middle East office in Dubai. In this role, you will report to the Brand Director and provide broad administrative assistance, coordinate cross-functional tasks, and help ensure office processes are completed smoothly.
Key Responsibilities
- Support internal workflows, including finance-related requests such as purchase orders and payment requests, while keeping expense records updated and tracking the status of payments.
- Handle incoming invoices, expenses, and other finance documents by reviewing, processing, and monitoring them.
- Assist the Brand Director with scheduling needs such as arranging meetings, booking appointments, and organizing travel plans, including itineraries and related expenses.
- Help prepare meetings by drafting agendas, collecting supporting materials, and taking meeting notes or minutes.
- Coordinate office events and local team activities, including retail team meetings, partner meetings, and team-building gatherings.
- Create correspondence, reports, and presentations whenever required.
- Help organize visitor trips and on-site visits.
- Work with headquarters, partners, and local agencies on different matters, including training coordination.
- Communicate with vendors, service providers, and clients to manage specific orders and service needs.
- Provide support on ad hoc office projects as needed.
- Carry out general administrative and clerical duties to keep the office operating effectively.
Candidate Profile
The ideal candidate has a strong sense of organization, can manage multiple priorities, and is comfortable supporting both routine administration and occasional special projects. A collaborative attitude, attention to detail, and the ability to work independently are important for success in this role.
Requirements
- A bachelor’s degree in Business Administration or a closely related discipline.
- About 5 years of experience in a similar administrative role, preferably in a busy office setting.
- Prior background as an administrative assistant, office assistant, or in an equivalent position.
- Solid working knowledge of Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook.
- Strong organization and time management skills, with the ability to prioritize and juggle multiple tasks.
- Clear verbal and written communication abilities.
- Excellent attention to detail and strong personal organization.
- Capability to work both independently and as part of a team.
- Fluency in English; Italian or Arabic would be an added advantage.
