Role overview

York Montessori School is an established Montessori institution focused on a caring, child-centered learning atmosphere. The school is looking for a detail-oriented and self-starting Administrative Assistant to help keep day-to-day operations running smoothly. This position suits someone who enjoys working in an education setting, communicates clearly, and takes pride in creating an organized, welcoming school environment.

Parent communication and admissions

  • Monitor incoming messages and handle general questions from parents.
  • Support the admissions process by reviewing enrollment applications, arranging school tours, and completing related paperwork.
  • Share reminders, newsletters, and school updates with families.
  • Serve as the initial contact for non-urgent concerns raised by parents.

School administration and operations

  • Keep student records, attendance logs, and staff schedules up to date.
  • Help coordinate school events, field trips, and parent-teacher meetings.
  • Manage supply ordering and track inventory levels.
  • Help maintain compliance records and required documentation.

Scheduling and coordination

  • Arrange meetings and appointments when needed.
  • Help organize staff training sessions and professional development days.
  • Maintain the school calendar and internal scheduling systems.

Internal support

  • Facilitate communication across departments and staff members.
  • Assist with clerical work such as data entry and report drafting.
  • Keep digital and paper filing systems well organized.

Qualifications and tools

The ideal candidate has prior administrative experience, preferably in a school or other educational environment, along with strong multitasking and organization skills. Clear written and verbal communication is essential, as is the ability to work independently, solve problems, and take initiative. Professionalism and discretion are important when managing sensitive student and school information.

Comfort with Google Workspace or Microsoft Office is required, and familiarity with school management systems such as Transparent Classroom or TUIO is an advantage. Knowledge of Montessori practices is preferred but not mandatory.

Additional requirements

  • Current Standard First Aid certification.
  • Current CPR certification.
  • Current AED certification.
  • Valid Vulnerable Sector Police Record Check.
