Role Overview
The EHS Specialist will help run and continuously improve the Environment, Health & Safety Management System (EHSMS). The position focuses on keeping EHS information organized, current, and reliable across document control, SharePoint, dashboards, records, and communications so that teams can make informed decisions and maintain assurance.
What You Will Do
- Support the EHS Manager with the daily administration and maintenance of the EHS Management System.
- Keep EHSMS documents current, including policies, standards, procedures, forms, and templates.
- Maintain version control, document quality, and alignment with approved EHS requirements.
- Help conduct periodic system reviews, updates, and audits.
- Manage EHS document control, including naming standards, approval flow, and access to active files.
- Track and maintain records such as training logs, audit reports, inspection results, and incident or near-miss records.
- Support compliance with internal governance and regulatory expectations for EHS records.
- Administer EHS content on SharePoint or similar platforms, keeping the structure logical and the information easy to find.
- Upload, archive, and retire documents according to document control procedures.
- Work with IT and EHS leadership to improve digital EHS tools and platforms.
- Collect and consolidate EHS data from sites, contractors, and internal systems.
- Build and maintain safety dashboards covering leading and lagging indicators, audit and inspection trends, and incident or near-miss data.
- Ensure data is accurate, consistent, and delivered on time.
- Assist the EHS Manager with trend analysis and reporting insights.
- Prepare and share EHS communications such as safety alerts, lessons learned, updates, bulletins, and campaign materials.
- Coordinate communication with internal stakeholders, including leadership, site teams, and functions.
- Support controlled communication with contractors, auditors, clients, or partners when needed.
- Create recurring reports and presentations for the EHS Director, project or site management, and regional EHS teams.
- Track EHS actions, commitments, and closure progress.
- Support management review meetings with relevant data, trends, and documentation.
- Look for ways to improve EHSMS usability, dashboard visibility, and communication effectiveness.
- Support the rollout of new EHS tools, systems, and reporting templates.
- Assist internal and external audits by preparing accurate documentation and data.
Qualifications
- A diploma or degree in Occupational Health & Safety, Engineering, Business Administration, or a closely related field is required.
- Between 2 and 5 years of experience in EHS, safety, or systems support is preferred.
- Working knowledge of EHS management systems is needed.
- Hands-on experience with document control and digital platforms such as SharePoint is important.
- Background in construction, project, or industrial environments is expected.
- Exposure to ISO 14001, ISO 45001, or comparable management system standards is beneficial.
- Experience with dashboards, reporting tools, or data analysis is required.
