What you will do
- Deliver day-to-day administrative and business support to the SVP and the wider organization.
- Own complex calendar coordination in Outlook, including extensive scheduling with internal teams and external partners, while keeping group calendars current for shared availability.
- Join important meetings, capture notes, and drive follow-up actions when needed.
- Help plan and run special initiatives such as team offsites, team-building events, all-hands meetings, space planning, floor moves, and other related projects.
- Travel occasionally to support events and conferences in person.
- Work closely with other administrative and executive assistants across functions and step in with backup support when required.
- Continuously look for ways to improve administrative processes and make them more efficient.
- Provide thoughtful, strategic administrative support to the SVP and the organization.
- Prepare meeting agendas, presentations, and related logistics, including background material needed for discussions.
- Coordinate travel planning, trip logistics, and expense handling.
- Help organize activities for a large, globally distributed, and diverse team.
What it takes to succeed
- Experience working in coordination, administration, or operations for 8+ years.
- Comfort working with customers and employees at all levels in a demanding, fast-paced setting while maintaining professionalism and confidentiality.
- Strong knowledge of workplace technology, including Microsoft Office tools such as Teams, SharePoint, and Excel; familiarity with Adobe products is an added advantage.
- Proven ability to deliver high-quality work quickly and accurately.
- Excellent organization skills and the ability to balance multiple complex priorities under pressure.
- Ability to work independently with little direction, take initiative, and see tasks through to completion.
- Capability to evaluate competing priorities and make sound judgment calls.
- High integrity and discretion when handling sensitive information.
- Interest in connecting and collaborating with executive and administrative assistants across Adobe as part of a global network.
- Bachelor’s degree or equivalent professional experience.
- Must be able to work onsite at Adobe’s San Jose headquarters at least 50% of the time.
