Role Overview
This opportunity is for an Executive Assistant supporting the Interior Design Vice Presidents at a high-end hospitality design studio in Las Vegas, Nevada. The studio is recognized for delivering refined luxury interiors and is looking for someone who is exceptionally organized, highly proactive, and attentive to detail. The position plays a key role in keeping executive priorities, project workflows, and daily department operations running smoothly.
The environment is fast-moving and detail-oriented, with a strong emphasis on collaboration, innovation, and polished client service.
Key Duties
- Coordinate demanding calendars, arrange meetings, and manage domestic and international travel planning.
- Maintain staffing schedules, prepare expense documentation, and process travel requests and timesheets for the design team.
- Prepare, polish, and finalize executive-level emails, reports, and presentations with a high degree of accuracy.
- Research information and assemble materials that support design initiatives and broader planning efforts.
- Serve as a professional point of contact for clients, vendors, and internal colleagues on behalf of the Vice Presidents.
- Support onboarding for new team members and help screen recruitment candidates for the design department.
- Contribute to the preparation of proposals, change orders, and requests for additional services.
- Help organize and run department meetings and events.
- Monitor incoming communications and prioritize action items to keep work moving efficiently.
- Handle sensitive business matters with complete discretion and confidentiality.
Qualifications
The preferred background includes a bachelor’s degree in Business Administration, Communications, or a related discipline. Prior experience assisting executives is important, and exposure to interior design, architecture, or hospitality is especially valuable.
Strong verbal and written communication skills are essential, along with a refined professional presence. The role calls for excellent organization, the ability to juggle multiple priorities, and comfort working in a fast-paced setting where accuracy matters.
Advanced proficiency in Microsoft Office tools such as Outlook, Word, Excel, and PowerPoint is expected. Candidates should also demonstrate integrity, discretion, and a forward-thinking approach. Familiarity with interior design terminology, project management systems, and the luxury design space is preferred, though not mandatory.
