About the Role
A leading global design and professional services organization is looking for an Executive Assistant to join its New York City office and provide high-level support to senior leaders within a specialist technical team. This is a full-time, office-based role in a fast-paced environment where the assistant will act as a key operational partner to leadership.
The right person will be highly polished, organized, and proactive, with the ability to keep several senior stakeholders on track at once. The role calls for someone who can manage shifting priorities, handle sensitive information carefully, coordinate travel and communications, and make sure daily operations stay smooth and efficient. Key Responsibilities
- Oversee demanding calendars and meeting schedules for multiple senior leaders, resolving conflicts early and making sure time is used effectively.
- Arrange travel within the U.S. and abroad, covering flights, hotels, ground transport, itineraries, and related travel paperwork.
- Draft and prepare emails, presentations, reports, briefing documents, meeting packs, and other leadership communications.
- Provide logistical support for outside meetings, events, speaking engagements, and industry-related activities, including materials and coordination needs.
- Monitor expenses, keep records and databases current, assist with reporting tasks, and contribute to special initiatives and cross-team projects.
Requirements
- At least 3 years of experience in an executive assistant, administrative, or senior coordination role supporting leadership.
- Excellent organization and multitasking skills, with the ability to stay on top of several priorities in a busy setting.
- Strong written and spoken communication skills, paired with a professional presence suitable for client and executive interactions.
- Strong judgment, tact, and confidentiality when managing sensitive information and dealing with executives, clients, and outside partners.
- Comfort using Microsoft Office, Outlook, and CRM or database tools, plus a careful approach to accuracy and follow-through.
