Role Summary

TerraPower is looking for a seasoned and detail-oriented Executive Assistant to support the Chief Financial Officer. This position provides senior-level administrative and executive assistance, with responsibilities that include sophisticated calendar and travel coordination, meeting planning, document and presentation preparation, and proactive follow-through. The right candidate will be trusted with confidential information, use strong judgment, and help improve the efficiency and effectiveness of the Finance leadership team.

Key Responsibilities

  • Deliver broad executive support to the CFO and, when required, assist other leaders across the department and organization.
  • Coordinate calendars, meetings, conferences, and teleconferences, ensuring logistics, deadlines, and supporting materials are managed efficiently and in line with TerraPower facility access procedures.
  • Handle pre-meeting preparation, create agendas, record and monitor action items, and keep accurate notes, files, and documentation.
  • Manage sensitive and highly confidential communications and records with discretion.
  • Assist with board-related materials and coordination as needed.
  • Help prepare polished business documents and presentations in Word, PowerPoint, and Excel, including editing, formatting, and version control.
  • Represent the CFO on-site as a professional point of contact for internal and external stakeholders and help keep information moving smoothly.
  • Support the Executive Leadership Team by coordinating requests and improving communication across departments.
  • Arrange all travel for the CFO, including itineraries, airfare, lodging, ground transport, event registration, and schedule alignment.
  • Prepare, submit, and monitor expense reports accurately and on time in accordance with company policy.
  • Take part in the administrative network by providing backup coverage to other administrative staff, supporting visitor access and security processes, and attending administrative meetings.
  • Build productive relationships with key stakeholders, partners, and vendors.
  • Handle special assignments and other ad hoc requests from senior leaders.
  • Provide backup coverage for the Executive Assistant to the President & CEO when necessary.

Qualifications and Experience

  • At least 5 years of executive support experience, with prior support to senior leaders preferred.
  • A bachelor’s degree is preferred, though equivalent experience may be accepted.
  • Proven ability to manage complex domestic and international travel arrangements.
  • Comfort working with direct communicators and shifting priorities in a fast-moving environment.
  • Strong judgment, discretion, and problem-solving ability, with a proactive approach to anticipating leadership needs.
  • Flexible and adaptable mindset, with comfort in an evolving and fast-paced setting.
  • Excellent written, verbal, and interpersonal communication skills, including the ability to interact effectively with senior executives, trustees, donors, and peers.
  • Consistently professional, positive, collaborative, and proactive in approach.
  • Excellent organization and time-management skills, with the ability to prioritize several competing deadlines independently and think strategically ahead.
  • Proficiency with Microsoft Office 365; exposure to SharePoint, Jira, and Confluence is preferred.
  • Ability to monitor deliverables and provide clear, regular updates to leadership.
  • Team-oriented approach, with the judgment to work independently and escalate or seek guidance when needed.
  • High standards of integrity, openness, respect, and relationship-building.
  • Light travel may be required.

Working Conditions and Physical Requirements

This role may involve extended sitting, bending or stooping, grasping and fine motor activity with the hands, and work that is visually and audibly focused. Physical effort is minimal, though the ability to safely lift up to 25 pounds is required. The work can involve prolonged repetitive tasks, stair use, typing, and a standard office or seated environment lasting more than 8 hours per day. Travel is expected to be 0–10%.

Compensation and Benefits

The posted salary range for this Washington State position is $102,804 to $154,206 per year. Offers are generally placed in the lower to middle part of the range to support internal equity and future growth, and final pay depends on market conditions and the selected candidate’s qualifications and experience. This role is also eligible for discretionary short-term incentive payments.
