About the Role
This is a high-visibility Executive Assistant opportunity supporting senior investment professionals and leadership teams. The position plays a key part in keeping a demanding, fast-moving environment organized by acting as a reliable support partner for scheduling, coordination, and everyday operational tasks. It is a well-regarded team with low employee turnover.
Key Responsibilities
- Manage a large number of internal and external meetings, including highly complex calendars.
- Develop and maintain working relationships with broker sales teams to help coordinate meetings.
- Plan travel, lodging, and transportation for portfolio managers and other team members.
- Record meeting information, keep research materials organized, and maintain documentation.
- Prepare expense reports and assist with routine administrative duties.
- Support onboarding activities and training coordination for new employees.
- Take part in team meetings and build knowledge of investment sectors, business technology, investment philosophy, and risk management practices.
Desired Qualifications
- A bachelor’s degree is required.
- At least 5 years of administrative assistant experience, ideally in financial services or investment management.
- Advanced working knowledge of Microsoft Office tools, including Excel, Word, PowerPoint, and Outlook.
- Strong organizational ability, time management, and the capacity to handle several priorities at once.
- High attention to detail, a professional approach, and sound judgment when handling confidential information.
- Clear communication skills and strong interpersonal ability, with comfort working both independently and as part of a team.
- A proactive mindset, effective problem-solving skills, and a genuine interest in learning within a dynamic investment setting.
