Role overview
A growing and well-established organization north of Boston is hiring an experienced Executive Assistant to support a senior leader on the executive team, along with a wider group of department heads. This is a high-visibility position for a polished, highly proactive professional who can act as a genuine business partner. The right person will be exceptionally organized, comfortable in a fast-moving setting, able to stay ahead of needs, and confident working with minimal supervision.

Key responsibilities
- Manage busy executive calendars, adjusting for shifting priorities, meetings, travel, and urgent requests.
- Arrange domestic travel, detailed itineraries, meeting logistics, and scheduling for executive leaders.
- Act as a central point of contact for leadership, internal teams, and external stakeholders, ensuring prompt communication and follow-up.
- Draft, refine, format, and proofread presentations, reports, meeting documents, and correspondence for executives.
- Help coordinate leadership meetings by preparing agendas, collecting materials, monitoring action items, and keeping follow-through on track.
- Handle sensitive and confidential information with care, professionalism, and discretion.
- Support interview coordination, onboarding logistics, and other cross-functional administrative work.
- Work closely with other administrative professionals to provide backup and coverage across the organization when needed.
- Plan executive events, leadership meetings, off-site sessions, and company-sponsored programs.
- Monitor projects, deadlines, and deliverables to help ensure efficient execution across teams.
- Look for ways to streamline processes, improve efficiency, and strengthen administrative workflows.
Qualifications
- A bachelor’s degree is required.
- At least 8 years of executive support experience in a fast-paced corporate setting, supporting senior leaders.
- Proven ability to manage complex calendars, travel coordination, and executive-level communication.
- Strong professional judgment and the ability to protect sensitive information.
- Excellent organizational skills and the ability to juggle competing priorities effectively.
- Advanced skill with Microsoft Office tools, especially Outlook, PowerPoint, Word, and Excel.
- Strong written and verbal communication abilities.
- A self-directed professional who can operate independently while also working well with others.
- A polished, resourceful, and highly professional approach to executive support.
