Role overview
This position combines document control ownership with executive support inside the CEO’s office. The selected professional will be accountable for maintaining organization-wide documentation standards while also assisting the CEO with day-to-day coordination in a fast-moving retail and e-commerce setting. The job calls for independent working, quick turnaround times, and solid judgement.
Core responsibilities
- Create, update, and apply consistent document standards across the business, including templates and naming rules.
- Oversee documents throughout their full lifecycle, from drafting and version tracking to archiving and later retrieval.
- Set up and maintain a structured central filing system that can be used by the appropriate teams.
- Keep reports, standard operating procedures, and internal communications aligned in style, structure, and tone.
- Serve as the coordination link between the CEO and teams in buying, logistics, finance, e-commerce, and retail operations.
- Prepare, edit, and manage outgoing correspondence on behalf of the CEO.
- Monitor assigned actions and follow up with department leaders to help ensure deadlines are achieved.
- Identify upcoming commitments and keep the CEO informed about priorities, deadlines, and pending matters.
- Organize meeting packs, agendas, minutes, and post-meeting action summaries.
Qualifications
- A bachelor’s degree in Business Administration, Communications, or a similar field is required.
- Applicants should have 2 to 4 years of experience in document control, executive support, or operations coordination; experience in e-commerce or retail will be an advantage.
- Strong English writing and speaking skills are essential.
- Good command of Microsoft Office and document management systems is expected.
- The role requires strong attention to detail and the ability to manage several priorities at the same time.
- Comfort in working closely with senior leadership is necessary.
- The candidate must handle confidential information with discretion and professionalism.

This role is based in Doha, Qatar, and is a full-time onsite position within a retail and e-commerce environment.
