Overview

Kids Inc is looking for an organised, people-oriented Fees Manager to take charge of the daily running of its fees operations. This role suits someone who enjoys a mix of administration, team coordination, customer support, and improving processes in a busy environment.

The position is responsible for the full administration, collection, and oversight of afterschool fees and funding across Kids Inc programmes. Accuracy, timely payment tracking, and compliance with funding rules are central to the role.

You will also handle day-to-day questions from families about afterschool fees, giving clear and prompt responses. In addition, you will guide and support the fees team to make sure work is completed accurately, efficiently, and to a high standard.

The role calls for hands-on experience in fee administration and a solid grasp of funding workflows, including practical knowledge of the National Childcare Scheme (NCS), especially the Hive platform.

Key Responsibilities

  • Take responsibility for the administration, collection, and processing of fees for children attending afterschool programmes and camps.
  • Make sure invoices are issued correctly, collections are tracked, and records are updated on time.
  • Watch overdue balances closely and ensure follow-up action is completed where needed.
  • Complete NCS returns accurately and within the required deadlines.
  • Manage registrations on the relevant systems, including Hive and NCS.
  • Assess applications and assign places in line with operational needs.
  • Lead, coordinate, and support the fees team so service quality and performance remain consistently strong.
  • Keep detailed and confidential records of fee transactions, changes, and correspondence.
  • Prepare reports covering fee collection, unpaid balances, and funding status.
  • Serve as a main contact for parents and guardians on billing, fee questions, funding, and payments.
  • Work with internal teams on refunds, adjustments, and account reconciliations.
  • Maintain compliance with internal controls, company policies, and funding requirements.
  • Look for ways to improve fee processes, systems, and the customer experience.

Candidate Profile

The ideal person will be confident, highly organised, and comfortable leading a busy operational function.

  • Experience in finance, billing, administration, or customer service is preferred.
  • Background in managing or coordinating a team is desirable.
  • Strong organisational ability and excellent attention to detail are essential.
  • Comfort handling records, payments, and large volumes of administrative work with accuracy.
  • Good command of Microsoft Office, with strong Excel skills.
  • Clear verbal and written communication skills.
  • A professional manner with a strong customer service focus.
  • Ability to manage confidential information discreetly.
  • Strong problem-solving ability and the capacity to work well in a fast-moving setting.

Desirable Experience

  • Previous work in childcare, education, or an afterschool setting.
  • Familiarity with NCS processes and childcare funding rules.
  • Experience using billing, finance, or student management systems.
  • Direct experience dealing with families and handling high volumes of queries.
