About the Role
This position is responsible for providing technical and administrative support to the assigned department. The role covers documentation, contract administration, data collection, periodic reporting, and coordination with internal and external stakeholders.
Key Responsibilities
- Build, update, and manage a structured digital document repository for test results, studies, reports, logs, maintenance records, and related files, while coordinating with IT on improvements and maintaining monthly vessel data and department planning records.
- Support superintendents in preparing MDRS documents, drydocking and repair materials, and tender packages for call-out and long-term contracts; follow up with relevant officers to ensure timely processing of contract requisitions, service orders, purchase requests, invoices, and other related items.
- Collect ship mail regularly, arrange its timely dispatch to vessels for delivery at the next suitable port, and receive incoming ship documents for proper distribution.
- Act as the main point for gathering routine contract invoices, entering data into the ERP system to support payment and settlement workflows, and creating common PRs when needed, while ensuring consistent electronic data replication for condition maintenance.
- Collect, file, type, and archive departmental reports and correspondence, and verify that all records are accurate and mirrored correctly in shared folders.
- Maintain the department’s central filing and recordkeeping system, including KPI updates and technical analysis, and keep the shared network drive current with all vessel-related files and folders.
- Work with HR and the Training Coordinator on employee leave, return-to-duty, attendance, rest schedules, and training plans, and keep the related records up to date.
- Prepare and refine periodic management reports covering departmental objectives, business plans, quality progress, and integrity assessment reports.
- Store project and inspection records in line with document retention procedures.
Requirements
- Secondary school completion plus two years of formal training in engineering or a technical field, or a Technical Diploma.
- Approximately 3 years of total experience working onboard ships as an engineer or in a comparable shore-based technical role.
- Working knowledge of shipping maintenance and repair processes.
- Proficiency with MS Office applications and ERP systems.
- Strong presentation and reporting abilities are an advantage.
- BSC or HND certificate.
