Role overview
This position is for someone who naturally keeps complex things organized, remembers where everything lives, and enjoys making sure work moves smoothly behind the scenes. In this role, you will support a compact team of Data Cloud and AI specialists who deliver complete technology solutions, including data pipelines, data warehousing, machine learning, AI, and visualization. While the consultants focus on delivery, you will manage the operational backbone: contracts, onboarding, client coordination, and internal systems.
Key responsibilities
- Take ownership of contract administration and RFP coordination.
- Lead the full MSA review workflow by tracking revisions and redlines, coordinating review with Directors and legal, recording important terms, and keeping the contract register current with expiry and renewal dates.
- Oversee SOW reviews by checking documents against company templates, arranging internal approvals, and storing signed copies and variations as the official record.
- Manage tender and RFP responses by controlling timelines and submission steps, collecting input from Directors and consultants, and maintaining a reusable response library with capability statements, case studies, and standard security/compliance answers.
- Handle client onboarding activities.
- Run client security review processes from start to finish, including questionnaires, evidence gathering, and follow-ups until completion.
- Arrange client-specific staff documentation such as background checks, police checks, confidentiality deeds, and key personnel paperwork.
- Keep onboarding checklists per client so consultants are ready to deliver from the first day of each engagement.
- Handle staff onboarding end to end, including employment paperwork, security and background checks, hardware ordering and setup, system access, and induction scheduling.
- Support client service and cadence requirements.
- Respond to and resolve non-technical client needs such as access requests, document requests, and scheduling issues without escalation where possible.
- Set up and track Quarterly Business Reviews for each client, including the calendar, session bookings, standing packs, and action follow-up.
- Maintain internal systems and operational tools.
- Create and update internal templates for SOWs, proposals, and scoping documents.
- Own the structure of the Notion workspace, including client areas, documentation standards, and the internal knowledge base.
- Review Harvest time records by client, check timesheet accuracy, compare hours against SOWs, and flag unusual entries to Directors.
Candidate profile
You should bring experience in operations, practice management, or senior administration, ideally from professional services or consulting. Strong organisation is essential, along with the habit of building systems and checklists before problems arise. You will need confidence working across clients, Directors, and consultants, persistence in following up busy stakeholders, comfort with modern tools such as Notion and Harvest, and the discretion to manage sensitive material including contracts, checks, and security questionnaires.
