Role Overview

The Recruiting Operations Coordinator serves as the operational core of Postman’s recruiting team. This position keeps hiring processes moving smoothly from start to finish by managing interview logistics, maintaining accurate data, ensuring feedback is captured on time, and keeping candidates informed throughout the process. What You Will Handle

  • Manage interview scheduling across active openings by aligning candidate, interviewer, and hiring manager availability with precision and speed.
  • Send confirmations, reminders, and all necessary logistical details to everyone involved in the interview process.
  • Handle reschedules and last-minute changes smoothly while minimizing disruption.
  • Spot scheduling or workflow delays early and help improve recruiting coordination processes.
  • Review active requisitions in the ATS to make sure all required information is complete and accurate, including job details, compensation bands, stage status, and interviewer assignments.
  • Work with recruiters to identify and fix missing data before it affects reporting.
  • Confirm that each closed role has a complete and correct record before archiving.
  • Track interview completion and follow up with interviewers so feedback is submitted within expected timelines.
  • Monitor which interviews have been logged and flag missing items to the appropriate recruiter.
  • Maintain an up-to-date view of outstanding feedback across all open searches.
  • Deliver a candidate-first experience at every stage of the hiring journey.
  • Coordinate candidate experience surveys at the required touchpoints in the process.
  • Track response levels and alert the team if engagement is low.
  • Compile survey results regularly and summarize the main themes for review.
  • Monitor employer review platforms such as Glassdoor, LinkedIn, Blind, and similar sites for feedback related to recruiting and interviews.
  • Share notable comments with the recruiting team on a regular basis.
  • Help keep Postman’s employer profiles accurate across platforms.
  • Gather and organize hiring metrics such as time to fill, source, offer acceptance, and interview-to-offer ratios.
  • Prepare recurring metric summaries for the Head of Recruiting.
  • Support monthly and quarterly reporting by ensuring data is accurate and ready on time.

Requirements

  • A bachelor’s degree in any discipline is required; exposure to HR, business, communications, or operations through coursework or internships is an added advantage but not mandatory.
  • 0 to 1 year of professional experience is expected, though strong internship or project experience will also be considered valuable.
  • Very strong attention to detail and the ability to spot errors or gaps quickly.
  • Clear, professional written communication for both candidate-facing and senior stakeholder communication.
  • Comfort using Google Workspace, spreadsheets, and calendar tools; experience with an ATS such as Greenhouse, Lever, or Workday is beneficial.
  • A collaborative, low-ego approach with an understanding that your work helps the broader team function better.
  • Interest in recruiting as a function and a desire to grow into talent acquisition or HR operations over time.
  • Ability to perform well in a fast-paced, high-growth environment while managing multiple priorities with ownership.
