Job Overview
The Receptionist will manage front office operations, support smooth guest arrivals and departures, and ensure service is delivered in a professional, welcoming, and efficient manner. The role also involves handling cash-related tasks, guest communication, room-related coordination, and supporting other front office functions as needed.
Key Duties
- Complete guest arrivals by registering and processing check-ins.
- Manage departures professionally and efficiently when guests check out.
- Enter and update guest details in the system after check-in is finalized.
- Carry out cashiering responsibilities, currency exchange, night audit tasks, and final settlement at departure.
- Manage walk-in reservations at the counter and take phone reservations when the reservation desk is closed.
- Respond to guest questions and requests promptly, warmly, and courteously.
- Address guest complaints and concerns, coordinating with the relevant department for quick follow-up.
- Issue room key cards and maintain strong control to support guest security.
- Receive and deliver messages, mail, and parcels for guests.
- Support the information desk, foreign exchange, night audit, and business centre when assigned.
- Understand hotel rate codes, package types, market segmentation, discounts, and the correct way to process each one.
- Manage safe deposit boxes in line with established policies and procedures.
- Escalate unusual incidents or special requests to the manager.
- Follow hotel accident prevention guidelines and safety practices.
- Keep the front office area clean, tidy, and presentable.
- Welcome guests properly on both arrival and departure.
- Review the logbook, verify pending matters, and identify daily special assignments.
- Check hotel status, including occupancy, functions, groups, and VIP arrivals.
- Share all relevant information with the next shift at the end of duty to ensure smooth operations.
- Prepare for daily arrivals by arranging room allocations, amenities, and special guest requests.
- Maintain regular contact with guests so issues and complaints are handled quickly and respectfully.
- Update the logbook and review equipment status.
- Present a smart, well-groomed appearance and maintain a friendly, cheerful manner at all times.
- Monitor daily front office operations.
- Provide regular updates to the Assistant Front Office Manager or Front Office Manager.
- Follow fire safety procedures.
- Apply first aid procedures when required.
- Record guest complaints and report them to the manager.
Qualifications
This position requires a university degree in Hotel Management and at least 1 year of experience in a similar role within a 4- to 5-star hotel.
