Role overview
The Data Entry Supervisor position is based in Aden, Yemen, and is intended for a short assignment lasting between 12 and 21 working days. The role focuses on overseeing the progress and quality of data-entry outputs in coordination with the project’s technical team and field offices. The main objective is to ensure that all captured data is complete, validated, and accurate.
Quality assurance focus
This assignment is centered on quality assurance. The supervisor will help standardize data-entry output so that it accurately reflects collected information and follows strict field-validation logic in the data-entry forms. Any errors linked to data capture, differences between collected data and area targets, and technical or logical issues in the forms must be identified and reported promptly.
Key responsibilities
- Oversee the data-entry team to make sure all project information is translated accurately from source documents into the data-entry platform.
- Coordinate the flow of incoming paper forms and digital submissions from the field, and ensure clerks check that forms are clear and complete before they are handed over for system entry.
- Monitor individual and team output to keep daily submission levels steady, manage workloads proactively, and prevent field data from piling up unentered.
- Create and maintain a central tracking system for completed physical and digital forms so that records are not missed, lost, or entered twice. Keep abnormal forms and error forms in separate files that include school-identifying information.
- Carry out quality assurance and immediate checks by applying a pre-agreed, targeted spot-check process with the Information Systems Officer, and systematically verify entries against system logic and the source text.
- Compile and validate area-level submissions completed by clerks, compare totals against target benchmarks, and report shortages or overages to the Head of the Educational Research and Development Center and the project’s Information Systems Officer.
- Serve as the focal point for platform performance by collecting, validating, and directly reporting formatting errors, delays, or logical issues identified by the team to the Head of the Educational Research and Development Center and the project’s Information Systems Officer.
- Enforce compliance with data confidentiality rules and ensure the team handles all files securely and never leaves data-entry screens unattended.
- Supervise workspace order and document security by maintaining a tidy data-entry environment and reducing the risk of damage to or loss of paper forms.
Qualifications and experience
- University degree holder or middle diploma graduate.
- At least one year of experience in a basic administrative role, preferably with an NGO, local organization, or government setting.
Technical skills
- Very fast and highly accurate typing in Arabic and English, including text and numbers.
- Basic familiarity with computers, internet browsers, and data-entry interfaces such as KoboToolbox or custom database forms.
- Basic knowledge of Microsoft Excel, including navigating worksheets, entering data, and using simple search functions.
- Arabic language fluency, with a basic ability to understand English text in data-entry forms when needed.
Core competencies
- Strong attention to detail, with the ability to catch small typing mistakes, missing numbers, or number reversals quickly.
- Dependability and steady performance when handling repetitive, high-volume data-entry tasks.
- Clear communication, especially when informing the PMIS officer that a form was not saved, a target does not match, or a system error appears.
