Role overview
An investment banking client is looking to add an Executive Assistant to its Manhattan, New York office. The role supports multiple managing directors and requires someone who can stay ahead of shifting priorities, handle sensitive information with care, and keep daily operations running smoothly.
Key responsibilities
- Provide senior-level administrative support to several managing directors by anticipating needs and managing priorities proactively.
- Handle complex scheduling and calendar coordination with both internal teams and outside stakeholders.
- Work with other executive assistants to plan meeting and client-visit logistics, including room bookings and catering arrangements.
- Keep executive contact records current in the firm’s CRM platform.
- Book and manage complicated domestic and international travel plans.
- Track travel disruptions and share timely updates when itineraries change.
- Check, categorize, and submit executive expense reports through QBO accurately and within deadlines.
- Create briefing packets, presentations, and other materials for executive use as needed.
- Serve as a polished and dependable contact for clients, partners, and senior leaders.
Requirements
- A bachelor’s degree in Business Administration, Communications, Marketing, or a closely related discipline is preferred.
- At least 4 years of experience supporting executives, with growing responsibility in operations or office management.
- Background in office administration within professional services or financial services is preferred.
- Strong ability to organize tasks, prioritize effectively, and manage competing deadlines.
- Clear and professional written and verbal communication skills.
- Sound judgment, confidentiality, and a high level of discretion.
- Comfort working independently while coordinating well across teams.
- Proficiency with Microsoft Office tools, especially Outlook, Excel, PowerPoint, and Word.
- Prior experience using QBO is strongly preferred.
