Overview

As a Learning Coordinator, you will help keep the operational side of learning programs running smoothly. This role is focused on turning plans into action, building reliable systems, and making sure the team can deliver high-quality learning experiences with confidence. You will support cohort-based learning programs that may run for as long as a year. Working as part of the core team, you will help ensure sessions, speakers, partners, and internal stakeholders are coordinated effectively so participants can focus on learning and building meaningful connections. Your work will help improve consistency, efficiency, and clarity across the team’s programs and processes.
Cohort and Program Coordination
- Support learning cohorts from onboarding through final wrap-up, making sure each stage is well coordinated.
- Oversee timelines, session setup, materials, and participant communications so the experience feels smooth and organized.
- Monitor attendance, participation, and milestone progress across long-duration programs.
- Act as a central coordination contact for facilitators, internal teammates, and outside contributors.
Speaker and Partner Support
- Prepare speaker packets with session outlines, schedules, logistical details, and support resources.
- Handle communication and planning for guest speakers so they are well informed and supported.
- Assist with onsite partner experiences by managing schedules, run-of-show details, and post-event follow-up.
Data, Systems, and Administration
- Keep program records accurate and up to date across multiple systems.
- Support data entry, tracking, and simple analysis related to cohorts, participation, and outcomes.
- Document workflows and procedures to improve consistency and team coordination.
- Look for ways to reduce manual work by improving templates, tools, and internal processes.
Project Management
- Handle several workstreams at once while keeping stakeholders informed and priorities on track.
- Spot operational risks, missing pieces, or improvement opportunities before they become problems.
- Help align timelines, deliverables, and expectations across functions and teams.
- Contribute to ongoing improvements in how the team works so programs can be delivered more effectively and sustainably.
Experience and Qualifications
- 2 to 5 years of professional experience in coordination, operations, or administrative support.
- Background supporting learning programs or events is highly desirable.
- Strong organizational ability and careful attention to detail, especially in complex efforts that run over several months.
- Comfort using systems, maintaining records, and working with data.
- Proactive, solution-focused mindset with a drive to improve processes.
- Strong communication skills and a service-oriented approach to working with partners and colleagues.
