Role purpose
The Document Controller will report to the Lead DCC / Project Control Manager and contribute to project activities within the Project Control Department. The role is focused on managing document control processes across home office, construction sites, and fabrication yards while ensuring compliance with established methods, procedures, and company systems.
Key responsibilities
- Carry out document control activities across home office, construction locations, and fabrication yards using Saipem tools and approved procedures.
- Maintain and update document registers for both Saipem and vendor documents, along with master data list tasks.
- Review document list status, workflow progress, internal circulation, and transmittal accuracy.
- Verify the formal quality of documents before they are uploaded to the EDMS.
- Ensure documents are submitted and received on time and that records are archived correctly.
- Upload documentation and transmittals into the EDMS.
- Support the management of vendor documentation.
- Handle or assist with client and vendor comments and the tracking of related responses.
- Upload project templates and contractual documents into the system.
- Manage or support document workflows and distribution activities.
- Manage or support the linking of documents to activities, purchase requests/orders, plant structures, and similar records.
- Check that documents meet formal and contractual requirements.
- Support the Project Manager and Risk Owners in reducing project risks and helping capture opportunities.
- Assist in planning, organizing, and delivering the final project documentation handover to the client.
Requirements
- A bachelor’s degree in Engineering, Business Administration, Information Management, or a related field is required; equivalent professional experience in EPC project environments may also be accepted.
- At least 6 years of experience as a Document Control Coordinator or Project Document Controller in Oil & Gas, EPC, or other large multidisciplinary projects.
- Background supporting the engineering, procurement, construction, and commissioning stages of EPC projects.
- Experience handling client and vendor documentation in line with contractual and project obligations.
- Strong command of English, both written and spoken.
- Ability to work effectively with multicultural teams, clients, and vendors.
- Good understanding of EPC document management processes and the document lifecycle.
- Familiarity with Project Execution Plans (PEP), Document Management Plans (DMP), and Quality Management Systems.
- Solid knowledge of document numbering, revision control, transmittals, and contractual document requirements.
- Experience managing document interfaces across engineering, procurement, construction, and vendor teams.
- Understanding of project close-out documentation and final handover dossiers.
- Proficiency in Microsoft Office tools, especially Excel, Word, PowerPoint, and Outlook.
- Hands-on experience with EDMS platforms for uploads, metadata management, approvals, workflow control, archiving, and reporting.
