Role Summary
The Program Coordinator will support the Vice President, Strategy & Portfolio Management by helping divisional priorities move forward effectively. The position focuses on executive coordination, managing incoming information, supporting engagement with stakeholders, and keeping multiple initiatives aligned.
This role sits at the intersection of strategy, operations, and people. It calls for strong organization, good judgment, and excellent relationship-building skills. The position also makes use of Microsoft Copilot Enterprise and other digital tools to reduce manual administrative work and allow more focus on strategic priorities.
This opportunity is suited to someone who is comfortable supporting senior leaders, working through complex environments, and adopting modern ways of working, including AI-supported productivity.
Responsibilities
- Develop and maintain productive working relationships with internal and external partners, such as governance groups, clinical and administrative leaders, ministry contacts, and peers.
- Deliver high-quality executive support by sorting, prioritizing, and routing requests while handling information accurately, promptly, and confidentially.
- Read, summarize, and refine briefing notes, correspondence, and reports to assist executive decision-making.
- Treat sensitive material carefully and maintain strong confidentiality standards.
- Manage the VP’s calendar, including meetings, speaking events, and strategic commitments, while balancing priorities and sensitivities.
- Coordinate scheduling across teams and outside partners, working with executive assistants and stakeholders to resolve conflicts and make the best use of time.
- Prepare agendas, meeting packages, and briefing documents.
- Support division Directors by coordinating complex meetings, gathering and consolidating inputs, tracking action items, following up on next steps, and serving as a communication and escalation point.
- Help create and distribute communications such as presentations, reports, and formal correspondence.
- Keep project and operational records current, including SharePoint pages, trackers, and dashboards.
- Track project deliverables, milestones, and timelines across initiatives.
- Coordinate with committees and project groups to keep work aligned and progressing.
- Provide administrative support for procurement, contracts, and financial coordination tasks.
- Maintain well-organized and easy-to-access electronic filing systems.
- Support documentation of processes and workflow coordination to improve efficiency.
- Coordinate divisional operations such as budget tracking, event planning for town halls and offsites, and HR-related scheduling.
- Take part in communities of practice with other coordinators and executive support staff across the organization.
- Build trusted relationships with internal teams, corporate partners, and ministry stakeholders.
- Use Microsoft Copilot and other digital tools to improve scheduling, communication, and document preparation.
- Look for ways to simplify processes and strengthen team performance.
- Help roll out improvements by involving the right stakeholders.
- Contribute to a culture that values innovation, adaptability, and ongoing improvement.
Requirements
- A degree in health administration, health sciences, public administration, or a related field, or an equivalent recognized qualification.
- Two to four years of experience in a coordinator role or a similar position.
- Background providing executive-level support in a demanding environment, ideally in government or the public sector, is preferred.
- Knowledge of executive office protocols and administrative systems in a government setting is considered an advantage.
- Strong understanding of Ontario’s healthcare system is an asset.
- Excellent interpersonal ability and the capacity to work both collaboratively and independently with people at all levels.
- Strong organizational skills, close attention to detail, and the ability to manage several tasks and priorities at once.
- A continuous-improvement mindset and the ability to spot inefficiencies and suggest better approaches.
- Lean or process-improvement training is an asset.
- Proven ability to manage multiple requests, anticipate issues, prioritize effectively, and respond as needed.
- Ability to manage confidential information with discretion and adapt to shifting demands while maintaining excellent client service.
- Strong written and verbal communication skills, with solid English grammar and spelling.
- Advanced working knowledge of Microsoft Word, PowerPoint, Excel, Visio, and Outlook; experience with Project and/or SharePoint is an advantage.
- Proficiency with Microsoft Copilot or similar AI productivity tools in a professional setting, including the ability to guide, review, and improve AI-generated content; experience using Copilot in Outlook, Teams, Word, and PowerPoint is preferred.
- A proactive outlook with the confidence to identify opportunities, suggest solutions, and embrace new technologies and working methods.

This is an in-office position based in Ontario. Candidates from anywhere in Ontario may apply, but the role requires work from a designated, approved Ontario Health location.
