Role overview
RBC Insurance Finance is looking for an Executive Assistant to provide high-level, day-to-day support to senior leaders, including the CFO of RBC Insurance. This position calls for someone who can keep a fast-moving executive office organized, manage sensitive information with care, and help maintain a polished, efficient work environment. The role spans executive support, event coordination, travel planning, administrative operations, and team communication.
Key responsibilities
- Support the CFO of RBC Insurance with diary management, travel booking, expense processing, and meeting coordination.
- Draft, revise, and format correspondence, internal communications, presentations, and other business documents.
- Provide administrative assistance to the Insurance Finance leadership group.
- Serve as a contact point between the executives supported and internal or external stakeholders.
- Assist with internal and external audit requirements in coordination with Finance colleagues.
- Manage sensitive and confidential information with a high level of discretion.
- Coordinate special assignments and ad hoc initiatives assigned by the leaders you support.
- Collaborate with other administrative assistants to organize meetings and events, manage recurring calendar items, and provide backup support during vacations and other absences.
- Help with operational tasks such as asset and inventory tracking, floor management, SharePoint site administration, and onboarding support for new hires and transfers.
- Contribute to employee engagement efforts through activities such as team socials, coffee chats, focus groups, and similar initiatives.
Requirements
- At least 3 years of experience as an executive assistant supporting senior leaders in a busy, fast-changing environment.
- Strong organizational ability with experience managing complicated calendars, travel, and meetings while balancing several priorities independently.
- Capacity to work with little supervision and deliver work accurately and efficiently.
- Good awareness of the cultural differences involved in working with a global team.
- Strong business judgment and the ability to anticipate executive needs.
- Excellent written and spoken communication skills.
- Advanced proficiency in Microsoft Office and Adobe.
- Team-oriented approach with a proactive, helpful attitude and a willingness to take on varied tasks.
- Working knowledge of relevant procedures and systems such as Workday, absence and vacation management, expense rules, and travel policy is an advantage.
- Prior experience in banking, insurance, or financial services is a plus, along with familiarity with industry terms and workflows.

Working hours: 37.5 hours per week.
