Role overview
This position is for an Administrative Assistant within a professional services setting in Dublin. The role supports senior advisors by helping manage client relationships and ensuring a consistently high level of client service. It is a permanent, office-based opportunity for someone who is well organised, takes initiative, and is comfortable working on their own as well as collaborating with others.
Key responsibilities
- Sort, monitor, and prioritise incoming correspondence so that messages are handled promptly and directed to the right people.
- Serve as an initial contact for client questions and resolve straightforward issues where possible.
- Maintain and manage the email accounts of senior staff, making sure communication is organised, actioned, and properly filed.
- Answer phone calls, assess incoming enquiries, and pass on messages with accuracy.
- Arrange calendars, meetings, and appointments while keeping schedules up to date.
- Set up new client files and ensure records remain accurate and current.
- Enter data and keep the internal case management platform updated.
- Assist with compliance-related steps, including client due diligence checks.
- Plan both online and face-to-face meetings, including welcoming visitors and offering on-site assistance.
- Coordinate with outside suppliers such as IT, maintenance, and facilities contacts when required.
- Provide broad administrative support and help with additional tasks as needed.
Experience and skills needed
Applicants should have at least 3 years of experience in an administrative position within a professional office environment. The role calls for strong written and spoken communication, excellent organisation, attention to detail, and the ability to juggle several tasks while meeting deadlines. A proactive and dependable approach is important, along with the ability to work independently. Candidates should also be comfortable using Word, Excel, and Outlook, have fast and accurate typing ability, and present themselves professionally with a strong work ethic. Experience in a legal or wider professional services environment would be an advantage, and prior exposure to case management systems is desirable.
