Role overview
This position combines front-desk hospitality with administrative support in a nursing home setting. The successful person will greet residents, relatives, and visitors in a friendly and professional way, manage incoming calls and general enquiries, keep the reception space orderly and welcoming, and assist senior leaders with finance-related administration, compliance tasks, and HR support.
The role depends on building positive working relationships with colleagues, residents, families, and multidisciplinary teams. Prior customer service experience is required. The post reports to the Administration Supervisor and is scheduled Monday to Friday.
Reception and front of house
- Receive and assist all visitors arriving at the nursing home.
- Act as a courteous, supportive first point of contact for residents and family members for everyday questions and concerns.
- Treat all confidential information with the highest level of discretion.
Finance administration and support
- Oversee the approval route for supplier invoices so they are checked accurately and authorised on time.
- Upload supplier invoices into the organisation’s internal software system.
- Support the Administration Supervisor with additional billing-related tasks.
- Accept customer payments at reception securely and provide receipts.
- Work with the Administration Supervisor to monitor aged debt and follow up on overdue accounts in a professional and considerate manner.
Admissions and compliance administration
- Assist families with reviewing and signing the Contract of Care before admission, helping them complete the initial paperwork with ease.
- Maintain the resident directory so records stay accurate, current, and compliant.
- Complete day-to-day administrative duties promptly and professionally.
- Keep computer, scanning, and electronic document filing systems organised.
- Ensure operational, staff, and resident records remain fully updated.
- Support the Managing Director, Director of Nursing, and Assistant Director of Nursing with information handling for internal and external stakeholders relating to residents, staff, and financial processes.
Candidate profile
The ideal applicant will communicate clearly and kindly, whether by phone or in person, and will be confident handling sensitive situations with professionalism. Strong accuracy, excellent organisation, the ability to work independently, and the flexibility to learn new systems quickly are all important.
A solid working knowledge of Microsoft Word, Excel, and PowerPoint is needed, along with experience using cloud-based accounting software. You should also understand the basics of filing, data management, and supporting routine internal processes such as resident registers, supplier invoices, and third-party service providers including taxis, hairdressers, and chiropodists.
Experience in a busy environment, supporting senior managers, handling simple accounts or invoice logging, credit control support, and writing professional correspondence on behalf of an employer would be beneficial.
Working arrangement
This is a Monday to Friday position based on site in Cavan, County Cavan, Ireland.
