Imperial Stay / Tony Alan Estates is part of a growing set of UK-focused businesses working across property management, real estate, serviced accommodation, and maintenance services.

This position supports the residential and long-let property management division, where the team oversees rental homes, tenant and landlord communication, contractor coordination, and compliance-related administration.

The residential property management function is responsible for ensuring tenancy operations run smoothly, maintenance issues are handled promptly, records remain accurate, and communication stays professional throughout the tenancy cycle.

To support continued growth, the company is strengthening its back-office team to help maintain high service standards across its long-let portfolio.

Role Overview

The Assistant Property Manager – Back-End Office will support the day-to-day operations of the residential property management team. This is an administrative and coordination-focused position covering multiple properties and requiring regular interaction with tenants, landlords, contractors, and internal staff.

The ideal candidate will bring prior exposure to property management, clear communication skills, strong organisation, and a proactive mindset when resolving issues and following up tasks.

Responsibilities

  • Support the Property Manager with daily operations, tenancy paperwork, and tenant communication.
  • Keep digital files and property databases up to date and help maintain smooth workflow across the team.
  • Coordinate tenant move-ins and move-outs, process applications, and respond to tenant queries.
  • Work with contractors, monitor maintenance requests, and track progress on open work orders.
  • Draft, manage, and track lease agreements, renewals, and lease closures.
  • Monitor rent collections, issue reminders, and update financial records accurately.
  • Ensure property documents and processes remain aligned with relevant local regulations and company policies.
  • Maintain accurate records and share regular status updates with the Property Manager.
  • Handle tenant concerns professionally through email, chat, or phone.

Requirements

  • A bachelor's degree in Business Administration, Real Estate, or a related discipline is preferred.
  • Prior experience in the property management sector is required.
  • Strong English communication skills, both written and spoken, are necessary.
  • Excellent organisation and time-management abilities are needed to handle multiple priorities.
  • Capability to work independently while managing several tasks at once.
  • Comfort using email, spreadsheets, digital record systems, and property management software.
  • Knowledge of UK property management rules is an added advantage, though not essential.
  • Experience with UK-based property management or real estate operations will be beneficial.
